Family Legal Secretary / Legal PA – London An excellent opportunity has arisen for an experienced Family Legal Secretary / Legal PA to join a highly regarded London law firm, supporting Partners and Associates within a busy and successful Family Law team.
Based in Central London, this is a fantastic opportunity for an accomplished legal support professional who has experience working on complex and high-value family law matters and enjoys providing proactive, high-level support to senior fee earners.
The Role Working primarily with two Partners and the Associates supporting them, you will provide comprehensive secretarial, PA and administrative support across a varied family law caseload.
The department handles sophisticated and often sensitive matters including:
- High-value and complex financial remedy proceedings
- Divorce and separation
- Private children matters
- International children matters
- Domestic abuse matters
- Other complex family and relationship disputes
Given the nature of the work, discretion, professionalism and excellent client care skills are essential.
Key Responsibilities Your duties will include:
- Providing comprehensive PA and secretarial support to Partners and Associates
- Managing busy diaries, appointments, meetings and key deadlines
- Monitoring inboxes and flagging correspondence requiring action
- Liaising professionally and sensitively with clients, courts and third parties
- Opening new matters and assisting with client onboarding, CDD and AML procedures
- Preparing and maintaining AML documentation and liaising with Risk & Compliance
- Audio typing and digital dictation using BigHand
- Drafting, formatting, amending and proofreading correspondence, court forms and legal documents
- Maintaining accurate electronic files and ensuring documents are correctly saved to the DMS
- Preparing court bundles using Bundledocs, including indexing, redaction, merging, renaming and arranging documents chronologically
- Ensuring bundles comply with court directions, procedural requirements and deadlines
- Accessing the HMCTS online portal, downloading documents and diarising important dates
- Diarising deadlines contained within Court Orders and setting appropriate reminders
- Assisting with billing, including preparing billing guides and draft bills
- Preparing forms and documentation using Quantum
- Handling telephone calls and taking accurate messages
- Organising meetings, conferences and other arrangements as required
- Supporting file closure procedures
- Providing overflow secretarial and administrative support across the wider Family team
About You We are looking for an experienced Family Legal Secretary, Legal PA or Family Law Secretary who is confident supporting senior lawyers in a demanding and client-focused environment.
You will ideally have experience of working within a Family Law department dealing with high-value financial remedy, children and/or domestic abuse matters.
You will also demonstrate:
- Strong Legal Secretary / Legal PA experience within Family Law
- Excellent diary and inbox management skills
- Outstanding organisation and the ability to manage competing priorities
- A proactive approach with the ability to anticipate fee earners' requirements
- Excellent written and verbal communication skills
- Strong document production and proofreading skills
- Experience preparing court bundles
- Confidence dealing with clients and court officials
- A calm and resilient approach when dealing with sensitive or emotionally complex matters
- Excellent attention to detail
- A high level of discretion and confidentiality
- Strong teamwork and a willingness to support colleagues
- Excellent IT skills and the ability to learn new systems quickly
Experience with systems such as iManage, BigHand, P4W, Bundledocs, Quantum, HMCTS Online Portal, Adobe Acrobat, Microsoft Word and Excel would be particularly useful.
