We are looking for a proactive and highly organised Operations Assistant to support the smooth day-to-day running of a busy law firm. This is a varied and hands-on role, ideal for someone with strong administrative skills who enjoys being at the heart of business operations. You will work closely with the Operations Manager and provide support across facilities, compliance, finance, HR, IT coordination and general office management, ensuring that policies and procedures are followed at all times.
Key Responsibilities
- Supporting the Operations Manager with daily operational tasks and projects
- Coordinating office supplies, equipment and facilities requests
- Liaising with suppliers and contractors
- Assisting with office moves, workstation set-ups and general office maintenance
- Providing Front of House support, including reception cover and internal events
- Assisting with the planning and coordination of external events
- Supporting finance administration, including disbursements
- Assisting HR with staff onboarding, induction and training
- Handling IT queries and providing IT training to new joiners
- Managing telephone calls for principals, including message taking and query handling
- Arranging travel, accommodation and visas; preparing travel itineraries
- Typing correspondence and documents (letters, memos, reports, presentations, minutes)
- Maintaining Excel spreadsheets and managing document filing, scanning and photocopying
- Handling post, couriers and FedEx
- Assisting with ad hoc projects as required
- Supporting compliance administration, including KYC searches
Skills & Experience Required
- Previous experience in an administrative or operations role
- Strong organisational and multitasking skills with excellent attention to detail
- Excellent written and verbal communication skills
- Proficient in Microsoft Office
- Ability to handle confidential information with discretion
- A proactive team player with a can-do attitude
