A well-established law firm in York is looking to recruit an Onboarding Assistant to join its busy client services team. This is an excellent opportunity for someone with strong administrative, reception or customer service experience who enjoys speaking with people and providing a professional first point of contact.
The Role
As an Onboarding Assistant, you will often be one of the first people a prospective or new client speaks to when contacting the firm. You will handle incoming enquiries, gather and accurately record information and ensure clients are directed to the appropriate solicitor, legal team or member of staff. This is primarily an administrative and client service role, so previous legal experience is not essential. What matters most is that you are confident on the telephone, organised, accurate and comfortable dealing with a variety of people.
Key Responsibilities
- Answering incoming telephone calls and responding to initial client enquiries
- Acting as a professional and welcoming first point of contact for new and prospective clients
- Gathering relevant information and accurately recording client details
- Inputting and updating information on internal systems and databases
- Directing clients and enquiries to the appropriate solicitor, department or member of the legal team
- Assisting with new client onboarding and general administrative processes
- Handling emails and correspondence professionally and efficiently
- Maintaining accurate and confidential client records
- Supporting the wider team with general administration
- Ensuring clients receive a positive and professional experience from their first interaction with the firm
About You
This opportunity would suit someone with previous experience as an Administrator, Receptionist, Customer Service Assistant, Client Services Assistant, Office Administrator or similar. You should have:
- Previous administrative, reception or customer service experience
- Confident and professional telephone skills
- Strong written and verbal communication skills
- Good IT and data entry skills
- Excellent attention to detail
- A friendly, approachable and professional manner
- The ability to manage multiple enquiries and prioritise your workload
- An understanding of the importance of confidentiality when handling client information
Previous experience within a law firm or professional services environment would be advantageous, but is not essential.
