An excellent opportunity has arisen for an experienced Facilities Manager to join a busy and established London law firm, taking ownership of facilities management across multiple offices, storage locations and associated premises. This is a varied, hands-on role within a professional and regulated legal environment. You will play a key part in ensuring the Firm’s offices remain safe, secure, compliant, well maintained and fit for purpose. We are looking for someone practical, proactive and highly organised who enjoys taking ownership, solving problems and managing everything from planned maintenance and contractors to health & safety, security and office projects.

The Role

  • Managing facilities across multiple law firm offices, storage locations and premises
  • Coordinating planned and reactive maintenance, repairs and improvement works
  • Developing annual and three-year planned maintenance programmes
  • Managing contractors, suppliers and external service providers
  • Obtaining quotations, monitoring costs and ensuring value for money
  • Managing facilities contracts, procurement and supplier relationships
  • Supporting health & safety, building compliance and fire safety
  • Overseeing building security, access control, keys and alarm systems
  • Supporting risk assessments and maintaining compliance documentation
  • Managing the Firm’s archiving, records storage and confidential file destruction programmes
  • Supporting office moves, refurbishments and facilities projects
  • Maintaining accurate maintenance schedules, facilities records and documentation
  • Identifying opportunities to improve services, processes and cost efficiency
  • Responding to occasional out-of-hours callouts, including evenings and weekends

What We’re Looking For

You will ideally have previous experience as a Facilities Manager, Facilities Coordinator, Premises Manager, Workplace Manager or in a similar facilities position. You should have:

  • Experience managing multiple offices or premises
  • Strong knowledge of planned and reactive building maintenance
  • Experience managing contractors, suppliers and service contracts
  • Experience obtaining quotations and monitoring facilities expenditure
  • A good understanding of workplace health & safety
  • Experience maintaining facilities and compliance documentation
  • Strong organisational and prioritisation skills
  • Good IT skills, including Microsoft Office
  • A proactive, practical and solutions-focused approach
  • The confidence to work independently and see issues through to resolution

Previous facilities experience within a law firm would be particularly advantageous, especially where you have worked within a multi-office legal practice. However, applications are also welcomed from experienced facilities professionals coming from professional services or similarly regulated environments who understand the importance of confidentiality, compliance, security and maintaining high professional standards. An IWFM qualification, IOSH Managing Safely, NEBOSH or equivalent facilities/health & safety qualification would also be beneficial, although strong practical experience will absolutely be considered.
