Overview

The CAFM Manager will play a critical role in supporting Estates and Facilities management, strategic planning, and operational delivery by ensuring that accurate and meaningful data informs decision‑making. The post holder will lead on the maintenance, development, and continuous improvement of Estates and Facilities software systems, ensuring alignment with NHS data governance standards, regulatory compliance, and operational efficiency. This includes overseeing CAFM system performance, space utilisation data, ERIC submissions, and integration with statutory compliance and property systems. The role also involves leading the administration, development, and integration of the CAFM system and acting as the subject matter expert for all Estates and Facilities software systems, supporting the rationalisation of legacy systems and overseeing safe data migration.

Space and Asset Data

  • Maintain accurate records of property space data and support the annual ERIC return.
  • Undertake site audits and manage measured surveys to verify \'as-built\' information.
  • Ensure all physical changes to the estate are reflected in the CAFM system and CAD drawings, and ensure space data reflects service delivery changes and capital works.

Compliance & Reporting

  • Support the submission of statutory data.
  • Develop and manage automated data routines.
  • Lead on the analysis and presentation of data to identify trends, performance gaps, and opportunities for improvement.
  • Ensure asset and condition data supports six-facet survey outputs and capital planning processes.

Finance & Budget Alignment

  • Work closely with Finance Business Partners.
  • Provide data to support Cost Improvement Programmes (CIPs) and strategic investment planning.

Training & User Support

  • Deliver training and ongoing support to CAFM system users across Estates and Facilities teams.
  • Create guidance documents and user protocols.

Governance & Assurance

  • Ensure all system use and data outputs comply with regulations.
  • Maintain audit trails and implement controls to ensure data accuracy, completeness, and security.
