This is a London based role with hybrid working. This role offers the opportunity to partner closely with senior leaders in a global organisation, providing trusted, high-impact executive support in a fast-paced and international environment.

The Opportunity: We are delighted to be recruiting an Executive Assistant supporting the Chief Marketing & Communications Officer and Chief Transformation Officer within our International Division. This is an opportunity to step into a highly visible Executive Assistant role, supporting senior leaders with an International remit at the heart of QBE. Working in a fast-paced environment, you’ll play a key role in enabling effective decision-making, strong collaboration and seamless day-to-day team operations.

Your new role:

  • Partner with senior leaders to provide proactive, high-quality executive support, helping them focus on strategic priorities and outcomes in a complex, global environment.
  • Manage busy and frequently changing diaries across multiple time-zones, thoughtfully prioritising commitments and resolving clashes with care and clarity.
  • Act as a trusted first point of contact for a wide range of internal and external stakeholders, handling interactions with professionalism, discretion and confidence.
  • Triage inboxes and manage approvals on behalf of the Executive, ensuring requests are progressed promptly, in line with QBE policies, and escalating issues where needed.
  • Support Senior Leaders in managing and responding to administrative approval requests, ensuring alignment with internal policies.
  • Coordinate end-to-end travel arrangements, creating well-planned itineraries that balance business needs, preparation time and wellbeing.
  • Prepare clear, high-quality meeting materials, including agendas, briefing packs and correspondence, ensuring Executives are well-informed and supported.
  • Provide administrative and ad-hoc project support, including research, data collection and basic analysis, particularly for leadership meetings, offsites and briefings.
  • Organise executive meetings, team events and offsites, managing logistics, stakeholders and follow-up actions to a consistently high standard.
  • Play a critical part in planning, organizing, and executing key company events and corporate hospitality, that strengthen customer, team and colleague engagement.
  • Monitor relevant financial or operational information, such as monthly cost centre reporting, and flag potential issues in a timely and constructive way.
  • Manage department invoices, expenses and approvals, working closely with Procurement, Finance and wider business stakeholders to ensure compliance with internal processes.
  • Build collaborative relationships with other Executive Assistants and support teams, providing cover or guidance when required and contributing to a supportive EA community.

About You:

  • Experience supporting c-suite executives in a dynamic environment, within a global organisation.
  • Proven experience working across multiple time zones and confidence coordinating diaries, meetings and priorities internationally.
  • Strong organisational skills and attention to detail, enabling the management of competing demands and changing priorities effectively.
  • Confident using digital tools such as Outlook, Word, Excel and PowerPoint to organise information and prepare professional materials.
  • Use of Co-Pilot to support research.
  • Experience working with external vendors, venues, and service providers.
  • Previous experience supporting corporate hospitality, events and project co-ordination a plus.
  • The ability to remain calm and adaptable under pressure, particularly during busy or time-critical periods, using sound judgement to prioritise effectively.
  • Experience working within financial services or a similarly regulated environment is important, bringing an understanding of pace, confidentiality and governance standards.
