Kessington Medical Centre in Bearsden is seeking a warm, approachable, and highly organised individual to join its friendly and supportive team. The successful candidate will act as the first point of contact for patients, providing a welcoming and professional service at the reception desk. This role involves arranging appointments, signposting patients to the appropriate services, and ensuring clear communication throughout their visit. In addition, the position requires proficiency in using clinical software systems to manage patient records, process prescriptions, and handle queries efficiently. Other responsibilities include scanning and filing documents, maintaining accurate data, and supporting the smooth operation of the practice. Strong organisational skills, attention to detail, and the ability to multitask in a fast-paced environment are essential. Responsibilities:

  • Act as the first point of contact for patients or healthcare professionals via telephone and email as well as in person.
  • Process appointment requests via phone, email or in person.
  • Maintain and monitor the practice appointment system (EMIS).
  • Initiate and respond to requests from patients, team members, and external bodies.
  • Become a system expert in EMIS, the clinical system used to manage patient records, appointments, and healthcare data.
  • Use DOCMAN, a workflow management platform that streamlines the handling of inbound clinical correspondence.
  • Collaborate internally using Docman collaborator for communication and coordination.
  • Handle incoming and outgoing mail and manage correspondence.
  • Input data for new and temporary registrations and update patient information as needed.
  • Process requests for information (e.g., Subject Access Requests, insurance/solicitor letters, DVLA forms).

Salary: £10,920 per annum.

Working hours: 21 hours over 2.5 set days. Days still to be determined but would be 2x days 9am to 6pm and 1x day 9am to 2pm.
