About us: Gallus Lettings are a well-established estate and letting agency with a strong local reputation for delivering exceptional service in residential sales and property lettings. Due to continued growth, we are looking for a highly organised and customer-focused apprentice to join our dynamic team. Overview: This role is the first point of contact for clients and visitors to the agency. You will play a key part in creating a welcoming environment, supporting daily office operations, and ensuring the smooth running of processes. Responsibilities: Monitor and triage incoming communications through phone calls, shared mailbox emails and general enquiries, escalating them to the appropriate team members in a timely manner. Schedule appointments and manage team diaries using integrated tools such as IRE, email, and shared calendars to ensure optimal time management and resource allocation. Generate and manage tenancy agreements, property details, sales brochures and other documentation using bespoke letting CRM systems Monday.com and Arthur. You will become a super-user on Monday.com Ensure all documentation is accurately completed, digitally stored, and accessible across relevant platforms. Maintain up-to-date and accurate records of clients, properties and transactions within the Arthur CRM system, following data entry protocols and update procedures. Coordinate and log the handover and return of property keys, maintaining a secure and traceable key management process. Greet all visitors and clients upon arrival, ensuring a professional and welcoming first point of contact. Act as a communication hub between landlords, tenants, buyers, and contractors, ensuring all interactions are logged and followed up in accordance with company procedures. Provide day-to-day assistance to the sales and lettings teams, following internal task management workflows and supporting efficient team operations. Conduct regular checks to ensure the reception and office areas remain clean, organised, and reflective of a professional business environment. Required skills: Excellent communication and interpersonal skills. Strong organisational and time-management abilities. Confident using Microsoft Office (Word, Excel, Outlook). Ability to multitask and handle a busy, varied workload. A friendly, professional attitude with a proactive approach. Additionally, the following experience would be beneficial: Keen interest in property. Knowledge of property lettings or sales processes. Own transport / driving licence would be highly advantageous.
