Please note that this is a FTC opportunity of 12 months. We are looking for a People System Analyst that has experience with Workday. This role will be the main day to day contact for BAU queries and changes relating to the company’s HRIS system (Workday), as well as a small number of wider People Systems. This role will work closely with the People Systems Manager who provides guidance on the strategic direction of all People Systems.

You will work in support of the People Systems Manager to maintain and enhance the functionality of the People systems, as well as providing user support, and delivering reports and analytics. You will also work closely with the wider People Team and other stakeholders to understand their needs and requirements, and implement solutions that align with best practices and business objectives. Knowledge of UK payroll compliance will be advantageous as the Workday system also delivers the in-house payroll, however the payroll management itself sits with the wider team. You will also need to have excellent communication, problem-solving, and project management skills, as well as a proactive and collaborative attitude.

What you will be working on:

  • Perform system configuration, testing, and deployment of new features and enhancements in Workday.
  • Be responsible for BAU inputs to Workday as well as specific change management projects.
  • Manage sensitive worker data updates via efficient manual processes or controlled mass uploads (e.g. EIB).
  • Subject matter expert for the configuration, development and maintenance of the HRIS.
  • System support for future developments for both internal contacts and external third parties.
  • Act as an internal owner for unresolved issues, managing colleague expectations with regards to fixes.
  • Perform root cause analysis to troubleshoot and help resolve issues with payroll system and HRIS. Escalate where appropriate keeping the end user in mind.
  • Work closely with the People Systems Manager and suppliers to drive product development ensuring the business needs are incorporated.
  • Troubleshoot and resolve system issues and errors, liaising with the People Systems Manager as needed.
  • Participate in all phases of system and integration testing, as required, including creation of test scenarios, performing functional tests, support of users during testing and defect resolution.
  • Manage system security, roles, and permissions, ensuring compliance with data protection regulations.
  • Monitor data quality and integrity, performing audits and data cleansing activities.
  • Keep up to date with expected releases, review and recommend new features and upgrades from Workday.
  • Provide user support and training, creating user guides and documentation.
  • Develop and maintain reports and dashboards using Workday reporting tools.
  • Collaborate with the People Team and other departments to understand their reporting and analytics needs. Utilise this insight to support the Head of People and Analytics with creating and delivering BAU Workday report and meeting ad hoc Workday reporting requests.
  • Support the payroll system process, ensuring data accuracy and timeliness.
  • Participate in system upgrade projects, conducting impact analysis and testing.
  • Research and recommend best practices and solutions for improving system performance and user experience.
  • Support our Case Management and Knowledge system Zendesk.
