The Role
- Pay: £13.60 per hour
- Hours: 30 hours per week, Monday to Thursday, 8:00am–4:00pm (start and finish times can be flexible)
As our Business Administrator, you’ll play a key role in keeping our Head Office running smoothly — supporting recruitment, payroll, compliance and finance processes across the organisation. Responsibilities will include:
- Supporting the recruitment and onboarding process, including advertising vacancies, arranging interviews, obtaining references and completing pre-employment documentation
- Completing and recording Right to Work checks and ensuring all required recruitment clearances are in place before employment begins
- Checking and recording relevant visa conditions, restrictions and expiry dates, and ensuring these are appropriately monitored
- Coordinating new starter inductions and mandatory training, and ensuring onboarding requirements are completed
- Supporting weekly payroll validation and monthly payroll preparation, including processing staff changes and leavers
- Checking agency hours and invoices, identifying discrepancies and liaising with managers and agencies to resolve them
- Supporting finance processes, including tracking delivered hours, invoicing information, financial records and spreadsheets
- Maintaining accurate information across our HR, training, care and business systems
- Completing scheduled compliance, recruitment, agency and KPI audits, identifying gaps and following up outstanding actions
- Producing reports, statistics and other management information
- Taking meeting minutes and providing administrative support
- Managing the internal help desk, tele enquiries, visitors, meeting rooms, office stock and equipment
- Supporting company communications, including newsletters and social media
The Ideal Candidate
- Strong administration and organisational skills
- Excellent attention to detail and understands the importance of accurate records
- Confident using Microsoft Office, particularly Excel, Word and Outlook
- Comfortable using and learning different digital systems
- Able to organise their own workload, prioritise effectively and meet deadlines
- Able to work independently and use initiative to solve problems
- Communicates clearly and professionally, both verbally and in writing
- Confident working with managers, colleagues and external organisations
- Able to manage several different tasks and changing priorities
- Dependable and takes responsibility for seeing tasks through to completion
- A positive team player who is willing to learn, develop and contribute ideas for improvement
Desirable: a Level 2 or Level 3 qualification in Business Administration or a similar subject, and knowledge or training in GDPR.
