As we continue to grow, we are looking for a Studio Manager & Client Operations Lead who can help bring structure, organisation and momentum to both our client relationships and our internal operations.

Location

Hybrid role. Based in Hampton, Greater London.

The Role

We are looking for someone who thrives on organisation, communication and making things happen. As Studio Manager & Client Operations Lead, you will sit at the centre of the agency, helping to connect clients, projects, systems and people. You will attend client meetings, coordinate delivery across the team, improve internal processes and ensure that nothing falls through the cracks. This role is ideal for someone who enjoys both people and process. Someone who can build strong client relationships while also creating the systems and structure that allow a growing agency to operate efficiently. You will work closely with the directors and become a key part of the agency's future growth. This is not a traditional administrative role. We are looking for someone who can help build the foundations that allow the agency to scale.

Key Responsibilities

  • Client Management & Communication
    • Attend client meetings, workshops and review sessions.
    • Capture actions, decisions and opportunities.
    • Produce clear meeting notes and task summaries.
    • Act as a day-to-day point of contact for clients.
    • Build strong relationships and maintain excellent communication.
    • Ensure clients remain informed and confident throughout projects.
    • Manage expectations around delivery, timelines and priorities.
    • Identify opportunities to improve client experience and retention.
  • Project & Resource Coordination
    • Coordinate project timelines and delivery schedules.
    • Work closely with directors to prioritise workloads.
    • Ensure work is assigned appropriately across creative, video and development teams.
    • Monitor project progress and identify potential risks early.
    • Coordinate freelancers and specialist partners where required.
    • Support the smooth delivery of both retainers and project-based work.
    • Ensure deadlines, deliverables and approvals are tracked effectively.
  • Studio Operations
    • Build and improve agency systems, processes and workflows.
    • Maintain project management platforms and operational documentation.
    • Create scalable ways of working as the agency grows.
    • Develop clear workflows that improve efficiency and accountability.
    • Support onboarding of new clients and projects.
    • Help document internal knowledge and best practices.
    • Identify operational bottlenecks and recommend improvements.
  • Commercial Support
    • Track project status against agreed scopes and deliverables.
    • Support the preparation of proposals, quotations and client documentation.
    • Assist directors with reporting, planning and forecasting.
    • Help identify opportunities for additional services and client growth.
    • Improve profitability through better planning, utilisation and resource allocation.
    • Support the management of recurring client retainers.

  • Experience improving systems and processes.
