POSITION OVERVIEW

Position: Executive Assistant (EA) to CEO Location: London Office (Holborn). In Office required, not a remote or hybrid position Schedule: Full time (Mon - Fri, 8 am to 4:30 pm) Salary: Highly Competitive, commensurate with experience

PURESEOUL is the market-leading Korean cosmetic specialist in the UK, operating both thriving e-commerce and retail stores. We are seeking an exceptional and proactive Executive Assistant to serve as the key operational partner to our CEO. This role is pivotal in maximising the CEO's effectiveness, managing critical priorities, and ensuring the smooth operation of the executive office during a period of significant international growth.

We require an EA who is a strategic gatekeeper, not just an administrator, and who shares a genuine passion for the Beauty industry.

The EA works alongside the PA, who also covers office administration, and partners closely with the Co-Founder and Creative Director.

KEY RESPONSIBILITIES

CEO support

  • Own the CEO's inbox: triage, draft replies, and handle what doesn't need the CEO.
  • Manage a complex, fast-changing diary across stores, suppliers, landlords, investors and partners. Protect focus time and push back on low-value meetings.
  • Plan UK and international travel, including Germany and Korea.
  • Prepare briefing packs, agendas and papers so the CEO walks into every meeting ready.

Business management

  • Run the CEO's leadership meeting rhythm: agendas, minutes, actions and follow-up until closed.
  • Track priorities and deadlines across key projects, such as new store openings, the Europe launch and the Derby warehouse move.
  • Act as the CEO's point of contact for the leadership team, external advisers, agencies and landlords.
  • Prepare reports and presentations for the CEO, for example board updates, management summaries and event slides.

Operations and governance

  • Handle approvals, contracts and documents that need CEO sign-off, and chase what is outstanding.
  • Support company admin such as insurance renewals, supplier set-up, purchase approvals and invoice queries.
  • Coordinate key events, including the Retail Managers Summit, store launches and industry events.
  • Help build simple processes and systems as the company scales.

Discretion

  • Handle confidential matters, including people, finance and commercial deals, with complete discretion.

Important Considerations

  • Frequent Travel: Candidates must be flexible and willing to undertake regular international and domestic business travel (including occasional overnights) and regular travel between the Central London office and the West London warehouse.
  • Team Collaboration: We are a dynamic, fast-paced team. While optional, a collaborative spirit and willingness to occasionally assist with wider company activities (e.g., supporting new store openings) is highly valued.

WHO WE'RE LOOKING FOR (Essential Requirements)

  • Experience: A minimum of 3+ years of demonstrable, recent experience supporting a C-level Executive (CEO, Managing Director, or Partner) within a fast-paced retail, e-commerce, or high-growth sector is essential.
  • Industry Passion: A strong, existing knowledge and passion for the beauty industry.
  • Communication: Exceptional written and verbal communication skills in English (UK standard).
  • Logistics: Valid passport and a proactive approach to managing complex international logistics.
  • Discretion: Impeccable attention to detail and a proven track record of maintaining confidentiality.
  • Software Proficiency: Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint) and cloud-based systems.
  • Bonus Skill: Any level of spoken or written Korean is a significant advantage.

PERKS & BENEFITS

  • 20% employee discount across our online and offline stores
  • Holiday allowance of 30 days pro rata (excluding Christmas and Boxing Day)
  • Comfy and casual dress code
  • Pension scheme: Company pension (5% employee, 3% employer).
  • Professional development: Opportunities for growth and development.
  • EAP Platform: Access to well-being and therapy sessions.
  • BrightXchange discounts: Cashback, vouchers, and exclusive discounts.

Due to the high volumes of applications that we receive, we are regrettably unable to personally reply to them all. Therefore, we will only contact successful applicants within a period of two weeks.
