Schedule: Full time (core hours: Monday–Friday, 8:00 am–4:30 pm; occasional communication outside these hours and days in case of emergency may be required)
Reports to: Property and Facilities Team
Key Responsibilities- Maintenance Coordination: Assist the team in managing and tracking both reactive and planned maintenance requests, ensuring timely resolution and documentation.
- Vendor Liaison: Research and communicate with new/existing service providers and contractors to schedule and confirm maintenance activities, ensuring adherence to service agreements.
- Compliance Support: Assist in ensuring all facilities adhere to health and safety regulations by conducting regular inspections and keeping compliance records.
- Administrative Assistance: Support the team with administrative tasks, including updating maintenance logs, preparing reports, and handling correspondence.
- Facility Inspections: Conduct routine checks of facilities to identify any issues or areas requiring attention, reporting findings to the Facilities Coordinator.
- Event Setup Support: Assist in the preparation and setup of facilities for internal events or meetings, ensuring all requirements are met.
- Budget Monitoring: Aid in tracking departmental expenditures and assist in preparing budget reports for review by the Facilities Coordinator.
- Inventory Management: Monitor and maintain stock levels of essential supplies, such as cleaning materials and office consumables, and reorder as necessary.
- Experience in retail or founder‑led business.
- Relevant experience in FM, operations, or property management role.
- Basic knowledge of building systems (HVAC, electrical, plumbing, etc.).
- Knowledge of health & safety and compliance requirements within retail/consumer environments.
- Experience managing reactive and PPM.
- Strong skills in developing and managing detailed project plans, timelines, and budgets.
- Experience with tools such as Monday.com is a plus.
- Excellent written and verbal communication skills.
- Proficiency in analysing data, identifying trends, and making data‑driven decisions.
- Strong numerical skills.
- Proactive mindset with the ability to effectively address challenges and creatively adapt in a fast‑paced environment.
- Exceptional organisational skills.
Frequent Travel: Although the job is primarily based in Central London, candidates must have the flexibility for on‑site work commitments. Travel may be required regularly, overnight, and on short notice in order to visit retail stores or conduct inspections.
