The role requires a proactive and detail-oriented Warehouse & Logistics Administration Manager to lead the administrative and process management functions within our logistics operations. This role is vital for ensuring smooth, efficient, and customer-focused operations across delivery coordination, inventory management, and administrative logistics support.
The role is key in improving Pure White Lines poor logistics record. It provides a bridge between Sales and the warehouse, and is integral to keep the orders flowing efficiently out of the warehouse. It ensures that the warehouse team are kept on target and on the warehouse floor rather than in a more office-based role.
Key Responsibilities:
- Logistics & Delivery Coordination: Plan and organise weekly delivery runs to optimise routes and ensure timely order fulfillment. Liaise with courier and freight providers to schedule pickups, resolve delivery issues, and monitor service quality for both national and international orders. Print and manage packing labels for all outgoing shipments, ensuring accuracy and adherence to courier guidelines.
- Client & Communication Management: Call clients to confirm delivery details, resolve queries, and handle logistics-related concerns. Monitor and manage the logistics email inbox, ensuring prompt responses and appropriate follow-up. Resolve escalated delivery-related customer complaints in collaboration with the customer service team.
- Administrative Operations: Oversee the flow of goods through the logistics process, from order intake to dispatch and delivery confirmation. Manage the full returns process, including coordinating collection, restocking, refund processing (via accounts), and client communication. Conduct regular website audits to ensure product availability, delivery information, and stock status are accurate. Maintain accurate documentation, including shipping manifests, invoices, and returns paperwork.
- Inventory & Compliance: Conduct regular inventory checks and stock reconciliations, reporting and investigating any discrepancies. Maintain warehouse health & safety records and assist with audit preparation.
- Process Improvement & Team Coordination: Develop and update standard operating procedures (SOPs) for logistics and administrative tasks. Coordinate schedules for administrative and dispatch staff, ensuring adequate coverage during peak times and holidays.
- Performance Monitoring & Reporting: Track key logistics and operational KPIs, such as order accuracy, on-time delivery rate, and return rates. Prepare regular reports and dashboards for management to support strategic decision-making.
- System Oversight: Ensure smooth operation of logistics and warehouse management systems (WMS), label printers, and related tools. Collaborate with IT or technical support to resolve system issues and ensure workflow continuity.
- Sales & Warehouse Liaison: Provide a seamless liaison between sales and warehouse, to ensure that any errors, such as damaged stock or wrong stock checks, are resolved and rectified.
Working Hours: Monday to Friday, 7:00 AM - 4:00 PM, with one hour (unpaid) lunch break.
