I am working with a growing organisation that is looking to recruit an Office Assistant to join their team, based on the outskirts of Chelmsford. You will be providing support to maintain the high standard of the office, ensuring everything is in order and running efficiently. This role involves a high level of support for administrative tasks and projects dealing with local authorities, solicitors, and estate/property management companies.
Main Duties:
- Working closely with the Office Manager to provide the expected level of service for office administration and projects
- Responsible for filing and maintaining documents, both paper and electronic
- Assist in reviewing and implementing improvements in administrative tasks and office procedures
- Assist in coordinating calendars for internal and external meetings, general use, and company events
- Liaise with the Finance team and external suppliers to ensure invoices are checked, paid, and records are maintained
- Document and update systems and procedures
- Review suppliers, researching and making suggestions (e.g., insurance, broadband, IT contracts)
- Manage repairs for properties
- Develop and maintain business relationships, interacting with staff and suppliers to promote excellent working procedures and a collaborative environment
- Greet and look after visitors, prepare meeting rooms, arrange food and drinks, and assist with requests such as photocopying
- Arrange couriers and manage post
- Assist with PA duties for the Directors
Key Requirements:
- Experience in administration and customer service
