The Executive Assistant provides comprehensive, high-trust and operationally rigorous support to the Chief Executive Officer. The role is central to the effective management of executive time, travel, information flow and stakeholder interaction in a fast-paced, growing organisation. The Executive Assistant operates with a high degree of autonomy and discretion and is expected to anticipate needs, resolve issues independently and ensure the smooth day-to-day functioning of the executive office.
Responsibilities
- Executive & Diary Management
- Own the end-to-end management of the Chief Executive Officer’s complex and fast-moving diary.
- Proactively prioritise meetings and commitments in line with business objectives and deadlines.
- Coordinate internal and external meetings across multiple time zones.
- Prepare agendas, circulate papers and ensure the Chief Executive Officer is fully briefed.
- Track actions and follow-ups arising from meetings and ensure timely completion.
- Travel & Logistics Management
- Take full responsibility for all domestic and international travel for the Chief Executive Officer.
- Plan and book flights, accommodation, ground transport and ancillary travel requirements.
- Manage visas, passports, insurance and supporting documentation.
- Design efficient itineraries that balance commercial priorities, time constraints and cost.
- Produce comprehensive travel packs including itineraries, meeting schedules and briefing notes.
- Act as primary point of contact during travel, managing changes, delays and disruptions in real time.
- Information & Communication Management
- Manage the flow of information to and from the Chief Executive Officer.
- Filter, prioritise and respond to correspondence on behalf of the Chief Executive Officer where appropriate.
- Ensure key information is captured, organised and retrievable.
- Maintain accurate records, documents and files.
- Stakeholder & Business Support
- Act as a key interface between the Chief Executive Officer and senior internal and external stakeholders.
- Manage sensitive, confidential and politically nuanced communications with professionalism.
- Build effective working relationships across the leadership team and wider organisation.
- Operational & Cultural Contribution
- Support the day-to-day operation of the executive office.
- Contribute to the coordination of leadership activity and business priorities.
- Act as a cultural role model, demonstrating professionalism, reliability and discretion.
- Support ad-hoc projects and initiatives as required.
Skills, Knowledge and Experience
- Several years’ experience in an Executive Assistant or comparable senior support role.
- Demonstrable experience supporting a Chief Executive Officer or senior executive in a fast-paced environment.
- Strong organisational capability and exceptional attention to detail.
- High level of judgement, discretion and professionalism.
- Confident communicator with the ability to manage complex stakeholder relationships.
- Resilient and able to operate effectively under pressure.
- Must have start up/scale up experience.
