Job Purpose
The role of Deputy Site Manager is essential to support the Site Manager in running a safe, compliant and highly efficient hub; providing senior leadership during the peak morning rollout, maintaining strict mortuary and administrative standards. Also acting as the primary cover for Shift Manager holidays, sickness and vacancies.
Key Responsibilities
- Operational Support and Rota Contingency
- Shift Coverage: Act as the primary, seamless cover for the early shift (6:00 AM – 2:00 PM) and late shift (2:00 PM – 10:00 PM) in the event of scheduled annual leave or unplanned sickness within the Shift Manager tier.
- Morning Launch Support (8:00 AM – 9:00 AM): Provide secondary management presence on the floor during morning dispatch. Assist the early Shift Manager in co-ordinating driver briefings, vehicle checks and the safe punctual departure of scheduled/reactive day crews and ashes return specialists.
- Handover Continuity: Participate in and facilitate the critical 2:00 PM daily handover between early and late Shift Managers, ensuring all logbooks, fleet updates and outstanding cases are accurately transferred.
- Compliance, Auditing and Mortuary Standards
- Maintaining Standards: Run daily audits of mortuary practices, tracking logs and cremation/ashes paperwork alongside the Mortuary Assistants and Ashes Return Specialists to guarantee a zero-error rate.
- Facility Management: Maintain day-to-day oversight of the mortuary environment, ensuring sterile conditions, strict infection control protocols and the dignified, safe movement of the deceased.
- Stakeholder Liaison: Act as the direct on-site point of the wider business when the Site Manager is off-site or engaged in strategic meetings.
- HR, Training and Team Development
- Staff Onboarding: Lead and monitor the practical induction processes for new ambulance crews and mortuary staff, formally signing off on core competencies, manual handling training, dynamic risk assessments and clinical decontamination protocols.
- Performance Management: Support Shift Managers in managing shift-level performance and wellbeing. Conduct Return-to-Work (RTW) interviews, manage attendance tracking and escalate formal HR or behavioural issues to the Site Manager.
- Welfare and Debriefing: Co-lead peer support and de-briefing sessions for operational crews following emotionally challenging transfers, helping to foster a compassionate and resilient team culture.
- Fleet and Logistics Co-ordination
- Logistical Optimisation: Monitor active vehicle trackers and live schedules during the core day, supporting Shift Managers in resolving road closures, vehicle breakdowns or route bottlenecks.
- Maintenance Schedules: Oversee localised resource efficiency by managing vehicle service records, scheduling MOTs and co-ordinating ad-hoc repairs with local partners to minimise downtime.
Candidate Profile
Experience and Qualifications
- Management Experience: Minimum 2–3 years of supervisory or assistant management experience within a fast-paced supply chain logistics, medical logistics, emergency service or private ambulance sector.
- Deceased Care Exposure: Practical knowledge of funeral, coroner or deceased transport protocols is highly desirable.
- Regulatory Knowledge: Sound understanding of health and safety regulations, infection control, and sterile environment maintenance desirable.
- Driving Licence: Clean, valid UK driving licence.
