Puma Capital Group are looking for a People Assistant to join our People team in London. This is an exciting opportunity for a highly organised and proactive individual to join our passionate People team. Within this role, you will support our Chief People Officer, Tarinee Pandey, and the broader People team. You’ll be a trusted gatekeeper and calm centre who plans ahead, protects time intelligently, and keeps a busy, back‑to‑back diary running smoothly, while also delivering reliable, high‑quality People administration across the employee lifecycle. This role will suit someone who takes genuine pride in excellent administration, cares about getting the details right, and thrives in a fast-moving, professional environment. The role is a 50/50 split between Executive support and wider People administration and operations.
Role Responsibilities:
- Executive support
- Extensive diary management and administrative support for the Chief People Officer, consistently providing clear and concise updates
- Scheduling meetings and arranging travel and restaurant requirements, including but not limited to meetings with Puma’s Board and senior leadership, internal and external meetings
- React quickly to changing priorities, same‑day requests, and urgent meeting reshuffles
- Proactively prepare for CPOs day, printing relevant documentation and highlighting key information
- Build strong working relationships with internal assistants to coordinate multi‑stakeholder meetings involving the Board and senior leadership, and to ensure effective absence cover
- Provide support and general administration including creating, editing, and formatting documents and presentations for regular monthly, quarterly and ad hoc meetings
- Arranging for the signing and circulation of documents, and invoice processing
- Prepare and submit monthly expense reports
- Coordinate end‑to‑end onboarding including documentation, background checks, IT setup, 100‑day onboarding plans, and scheduling induction meetings
- Coordination of induction and training sessions for new joiners, as well as training requirements across the business, including arranging equipment, welcoming facilitators, and coordinating feedback
- Manage the training inbox, responding to queries in a timely manner
- Ensure the People team events calendar is kept up to date and diarise all relevant reminders in the People teams calendars, supporting coordination and scheduling of events and initiatives
- Support with maintaining accurate data in HiBob and employee files, ensuring timely processing across the full employee lifecycle (joiners, movers, leavers)
- Ad hoc support for wider People related activities e.g. drafting standard employee letters, benefits administration, setting up interviews and case study assessments for recruitment processes
Experience Required:
- Demonstrable administrative experience working in a People or HR function gained within a corporate or professional services environment (financial services knowledge helpful but not essential)
- Experience managing complex diaries, sensitive information, and ambiguity with excellent judgement and discretion
- An anticipatory planner who habitually works 3-4 weeks ahead, blocking time for preparation and ensuring buffers between meetings, spotting possible issues early and implementing solutions
- Excellent knowledge of M365 including Word, Excel, PowerPoint and Outlook
- Reliable, hardworking and organised, with demonstrable ability to manage and prioritise tasks effectively
- Proactive with an ability to work in a fast paced and challenging environment
- Ability to engage with internal and external stakeholders at varying levels, in a professional and confidential manner, and build trusted working relationships
- Demonstrable track record of attaining high standards
- Ability to manage upwards and influence with tact
- Discretionary effort with a willingness to go above and beyond when needed
