Our client, a high-end Luxury Retail Brand, is searching for a London-based EA to join their team. They are seeking an experienced and hard-working EA to provide support to their Founder during a period of growth and expansion for the company. With the CEO/Founder regularly travelling abroad, this role will act as their eyes and ears in the London office, working alongside a very successful and close-knit team.
Duties for this role include, but are by no means limited to:
- Complex, multi-time-zone diary ownership for CEO and partners
- Set Senior Leadership Team reviews, agendas, packs, minutes
- Draft, proof, and format letters, emails, briefs, reports, and presentations to a high standard
- Act as first-line comms filter for the CEO - and decide/execute/escalate appropriately
- Translate CEO/partners’ priorities into clear plans, owners, and timelines
- Convert CEO/partners’ priorities into scoped projects with clear outcomes & success metrics
- Coordinate resource/capacity (availability, holidays, cover) to protect timelines
- Produce concise status updates
- Keep different departments aligned on various Projects
- Handle client Instagram DMs professionally; coordinate VIP gifting end-to-end
- Coordinate domestic/international travel, visas, and itineraries and maintain/file accurate records
- Ensure smooth UK office operations, including coordinate meeting logistics, rooms, visitors, and sensitive client/vendor touchpoints
- Maintain structured digital filing for rapid retrieval - create reusable templates, including meeting packs, action logs, travel briefs
- Collate receipts/expenses and liaise with finance for accurate, timely documentation
- Uphold confidentiality; handle sensitive information with tact and diplomacy; represent leadership with calm, sound judgement
- End-to-end Project Management across different teams and being the liaison for all departments
- Ad hoc Business/Personal/Team support when required
This role will ideally require someone who has worked in a fast-paced environment who has proven knowledge of working with a demanding Founder/C-Suite. You must display excellent written/spoken English and have the ability to spin many plates at one time. High-end Event experience would also be a bonus, as well as complex travel coordination.
