Our client is a worldwide retail giant, who are one of the very best known names in their field, and are looking for a dedicated, talented and hardworking EA who can join their London operation. With responsibility for providing Executive support, consisting of effective calendar and inbox management, time management, organisation of complex travel arrangements, preparation of documents and clear/concise communication, whilst acting as an internal and external ambassador. This is a pivotal role requiring exceptional organisational skills, sound judgement, and the ability to operate effectively in a fast-paced, dynamic environment. The right candidate will be a natural team player who embodies the company values and contributes positively to the culture.
Key Responsibilities
- Provide comprehensive EA support to the Executive Board of Directors
- Manage complex and frequently changing diaries, ensuring optimal time management and prioritisation
- Coordinate international and domestic travel arrangements, including multi-stop itineraries, accommodation, visas, and logistics
- Prepare meeting agendas, presentations, briefing documents and support materials as required
- Undertake confidential administrative duties with discretion and professionalism
- Act as the primary point of contact for internal and external stakeholders on behalf of the executives
- Plan, organise, and deliver internal and external events, including leadership offsites, department meetings, groups events
- Manage logistics, catering, schedules, and communication for key events
- Work closely with the Senior Executive Assistant and support with cover as required
- Build strong working relationships with Reception and across departments and with external partners
- Anticipate and proactively resolve issues before they arise – think outside the box and how actions could impact others
- Support wider administrative processes to help maintain an efficient, well-organised executive function
- Maintain and uphold company values in all interactions, helping to foster a warm and collaborative culture
Skills & Experience
- Previous experience as an EA supporting Board level Executives, ideally within a fast-paced, multi-stakeholder environment
- Proven experience managing complex diaries and international travel
- Strong organisational, multitasking, and prioritisation skills
- Excellent communication skills—both written and verbal
- High level of discretion, integrity, and confidentiality
- Ability to work under pressure and adapt quickly to changing circumstances
- Confident using Microsoft Office and modern workplace systems. Up to date with relevant technology
