Based in the heart of Soho, our client is a world-renowned Creative Agency who has been behind some of the most iconic adverts in history. They are looking for a Receptionist/Junior PA to join the London team in a diverse and crucial role which will drive the culture of the whole Agency. Working in this dual role, no two days will be the same, and duties will include, but are not limited to:

  • Maintaining the reception area, ensuring brand and values are implemented through reception.
  • Ensuring front of house looks immaculate at all times, checking meeting rooms are left in impeccable shape.
  • Meet and greet guests in reception, making them feel special, welcome and at home.
  • Recognising key clients, greeting them by name, knowing who they are meeting with, which team they work with, building relationships with them.
  • Knowing what meetings are taking place each day and where, personally taking clients to the right meeting room or showing them where they can work when necessary.
  • Ensuring clients are shown how / where to work if required.
  • Ensuring calls are answered efficiently.
  • Maintain Reception material such as senior management lists.
  • Liaising and working closely with PAs to ensure that everything runs smoothly.
  • When problems arise, be solution-focused and work with Line Managers to overcome and prevent problems going forwards.
  • Maintaining confidentiality and sensitivity at all times.
  • Demonstrating clear communication, attention to detail and reliability.
  • Managing executive diaries to ensure that their day runs smoothly.
  • Preparing decks so they are fully ready for any upcoming meetings.
  • Planning and executing a travel itinerary so that meetings are never missed and enough time is left.
  • Assist with presentation preparations and assisting with run-throughs.
  • Ad hoc support to make Execs feel fully prepped.
