Responsibilities

  • Agenda preparation and minute taking
  • Arranging and coordinating meetings, training events, SLT off‐site meetings (both on and off site), annual Apprentice award dinner – working to a budget, negotiating rates, etc.
  • Hosting Quarterly Employee Staff Briefings, coordinating inputs for the slide deck, arranging communications online as well as on site
  • Assist with preparation of PowerPoint presentations (Strategic Planning, Staff Presentations, etc.)
  • Check and respond to emails in a timely fashion for VP/GM when off site
  • Comprehensive travel arrangements for VP/GM and SLT (flights, hotel, local taxis, visas)
  • Diary management for VP/GM
  • Ensure facilities are maintained (printers, stationery, etc.)
  • Generate weekly, monthly reports and ensure deadlines are met
  • Maintain VP/GM Outlook calendar updated with Senior Leadership Team holidays and periods of OOOP
  • Prepare and balance expenses using Concur for VP/GM (Company Credit Card)
  • Maintain 'Action Lists' – monitor responses, issue follow‐ups on behalf of the VP/GM
  • Screen calls and correspondence
  • Set up conference calls and Teams administration for VP/GM and SLT via WD
  • Support international visitors: Proxy‐Click entry, prepare agenda, order catering, book conference room, ensure documents/presentations completed
  • Update and maintain the Red Box

Qualifications

  • Computer literacy with comprehensive working knowledge of Microsoft Word, Excel, PowerPoint, Concur, Workday, Vision, SharePoint and Outlook applications
  • Excellent typing skills
  • Previous senior Executive Assistant experience in a similar high‐level role
  • Excellent interpersonal skills – confident and persuasive communication with a wide range of people, up to the most senior levels within Curtiss‐Wright, to build professional relationships
  • Excellent organizational skills
  • The ability to work under pressure and use considerable initiative to meet strict deadlines
  • The ability to work closely with VP/GM; understand objectives and ways of working to provide informed support across a range of activities
  • An extremely professional attitude and integrity when handling confidential information
  • Highly self‐motivated and capable of working with minimum supervision
