The Role: The Contract Support Officer reports into the Estates Access Control Manager and is responsible for the processes that support the move toward a compliant and safe campus, ensuring we operate within the regulatory frameworks that are designed to support the operation and function of the Estates department. The role requires the Contract Support Officer to be able to move seamlessly between CAFM system, CDE, access control and key management systems, ensuring accuracy and compliance at all times. As the first point of contact for visitors, the Contract Support Officer will need to be an excellent coordinator and communicator, dealing with the physical arrival of contractors on site and ensuring compliance with Coventry University Group induction and work permit processes. All works must be diarised and coordinated with the relevant University contact, and details entered on the CAFM system to ensure we can monitor the arrival, departure and presence of all onsite contractors, as well as managing their access rights and access permissions for the duration of the contract. The Contract Support Officer needs to be a confident administrator and an experienced user of such systems and comfortable around contracts, assets, PPM schedules and the means by which Contractors are engaged, monitored and managed. With exceptional customer service skills, it is essential that the post holder is excellent in building relationships with contractors and supply partners, and will always be a positive and knowledgeable representative of the Coventry University Group. Working closely with the Compliance Officers, Access Control Manager the post holder will be required to manage the output from all internal works and service contracts to ensure Estates meet any requirements, both contractual and legislative. All certification, RAMS, insurance, licenses and reports applicable to service activity must be stored and managed in such a way that it is accessible at all times and supports reporting to senior management, HSR and HSE.

Qualifications: The Estates Operations Support team are keen to seek an individual with sound, demonstrable administrative experience gained in a customer focused office environment. Significant experience of CAFM systems, using the full suite of Microsoft Office, word processing, diary management, minuting minutes and servicing committees are all essential for this role. A methodical approach to work with excellent organisational skills with the ability to prioritise work to meet deadlines, SLA's and KPI targets. You will have excellent communication and customer service skills with experience providing administration support to a team. An appreciation for other cultures with the ability to relate to people at all levels with courtesy and professionalism will be required for this role.
