We’re looking for an organised and proactive Personal Assistant to join the PMX (Publicis Media Exchange) team at Publicis Media. This is a key support role working closely with senior stakeholders and the wider PMX team. The role will involve diary management, meeting coordination, travel bookings and general administrative support. You’ll work alongside the Executive Assistant to the Global Head of PMX Lift and will be supported as you settle into the role. We’re looking for someone who is a self-starter, confident managing their workload, and comfortable working proactively in a fast-paced environment. Strong Microsoft Office skills and previous experience in an admin or assistant role are essential. PMX is a collaborative, social team, and this role suits someone who enjoys being part of a supportive, professional environment.
Responsibilities
- Diary management; arranging meetings, briefings, and events, whilst anticipating and managing competing commitments
- Completing online expense claims and assisting with approval process
- Completing timesheets
- Managing online holiday booking system
- Helping to set up hybrid meeting tech
- Holiday cover for other EA’s and PA’s
- Communicating with media owners, clients, and internal stakeholders as and when required
- Oversee social events for the PMX Central team
- Leading or collaborating on events management for the Teams, as well as the wider agency
- Formatting PowerPoint presentations
- Travel management including arrangements and visa applications if required
- Ad hoc PA tasks such as booking meetings rooms, ordering catering, collecting guests from reception etc.
Qualifications
- Strong working knowledge of Microsoft Office – specifically PowerPoint, Excel, Word & Outlook
- Ability to organise, be proactive and work under pressure
- Ability to use initiative to problem solve
- Ability to collaborate with colleagues and ask questions where necessary
- Ability to converse with all levels of seniority across the business
- Working well with multiple stakeholders and in a busy environment
- Prioritising and managing a busy workload, working at pace and with accuracy amid frequently changing requests
