We are seeking an energetic and detail-oriented Associate to join the UK People Shared Services team. This team delivers high-quality, scalable, and consistent People Operations services, enabling our employees to thrive and focus on impactful client work.

Reporting to the UK People Shared Services Track Lead, this role is responsible for delivering exceptional employee lifecycle support—from onboarding to exit—while driving operational efficiency, compliance and a great people experience.

We're looking for someone who is proactive, a problem solver, highly organised, eager to learn and passionate about providing excellent support across HR processes.

Location: London, Turnmills

Hybrid: 3 days in office

Responsibilities

  • Employee Lifecycle Administration
    • Manage assigned lifecycle processes (e.g. probation, sickness tracking, maternity, exits)
    • Ensure timely and accurate updates to HRIS (SuccessFactors), payroll inputs, and documentation
    • Respond to employee queries in a timely, professional, and solution-focused manner
    • Support relocation and onboarding for external visa candidates in collaboration with the mobility team
  • Onboarding & New Joiner Experience
    • Coordinate all logistics for new joiners, including:
    • Week 1 onboarding setup with IT, L&D (Publicis Sapient Start), and People Teams
    • New starter packs and scheduling "meet & greets" with line managers and buddies
    • Ensure all onboarding paperwork and employee files are complete and up to date
  • Compliance & Process Support
    • Coordinate compliance requirements including right-to-work checks, visa documentation, and pre-employment screening, GDPR audit
    • Support data preparation for audits and reporting requests
  • Project & Continuous Improvement Work
    • Participate in UK-level People Ops projects such as new system rollouts or data reporting improvements
    • Proactively identify opportunities to simplify and improve internal processes
  • Business Capability Support
    • Act as the point of contact for people within a specific business capability area for people operations across key touchpoints such as onboarding, probation, parental leave, exits, sickness

Qualifications

  • Experience supporting in Human Resources is desirable but not essential
  • Experience with AI prompts, Systems automation and building AI Agents for HR processes (or coming from an Engineering background) will be desirable as this role will support the HR Lifecycle activities for the Engineering population at Publicis Sapient
