An exciting opportunity has arisen for an Estate Services Administrator, playing a key role in supporting the effective delivery of estate services across a busy housing portfolio. This role is central to ensuring high standards in grounds maintenance, caretaking, waste management and resident engagement, while providing vital administrative and operational support to contract management teams. You’ll be part of a service-driven environment focused on maintaining clean, safe and well-managed estates for residents.
Key Duties
- Support the coordination, monitoring and day-to-day administration of grounds maintenance and caretaking contracts.
- Maintain accurate records of service delivery, site visits, inspections and contractor performance.
- Assist with managing fly-tipping and waste-related issues, liaising with contractors and local services to ensure timely resolution.
- Handle resident complaints and queries in a professional, empathetic and resident-focused manner.
- Provide clear communication and regular updates to residents regarding estate services and works.
- Coordinate contractor access to estates and blocks, resolving access issues to prevent service delays.
- Carry out estate inspections and quality audits to assess cleanliness, grounds maintenance standards and caretaking performance.
- Record findings, elevate issues and follow up with contractors to ensure corrective actions are completed.
- Support ad hoc estate tasks, inspections and operational problem-solving as required.
- Prepare and collate data for monthly reports, meeting notes and performance monitoring.
- Maintain databases, filing systems and communication logs to ensure compliance and transparency.
- Raise purchase orders and liaise with contractors regarding instructions and service delivery.
