On behalf of the MOD, we are looking for a Facilities Administrator (Inside IR35) for a 12 month contract which requires 5 days a week onsite at Oakhanger military base in Hampshire. The Ministry of Defence (MOD) is a central government department with a mission to protect our country and provide the ultimate guarantee of its security and independence, as well as helping to protect its values and interests abroad. SC Clearance is an essential requirement for this role, as a minimum you must be willing & eligible to undergo checks.
Please note, due to the exceptional requirements of this position (short-term nature of this role and speed at which we require a postholder in situ) preference may be given to candidates who meet all of the essential criteria and hold active security clearance.
As a Facilities Administrator, your main responsibilities will be:
- Process and coordinate visitor requests, including maintaining access lists and controlling the document library.
- Support meetings by preparing agendas, issuing invitations, taking minutes, and distributing outputs and action points to stakeholders.
- Use internal MoD platforms for finance and purchasing.
- Manage ordering and stock control of stationery supplies.
- Update and distribute MOD policy statements to relevant personnel.
- Review and update MOD site documentation to ensure accuracy and compliance.
- Maintain and update SharePoint document libraries to ensure documents are current and accessible.
- Coordinate conference room bookings to meet organisational requirements.
- Collect and correlate meter reading data to support facilities management.
- Manage fuel ordering processes to maintain operational readiness.
Essential Skills
- Experience as an administrator within busy departments ideally in the public sector.
- Extensive stakeholder engagement across the business.
- Experience of reception cover, arranging meetings and minute taking.
- Support across the facilities management teams onsite.
- Strong IT skills including SharePoint and Microsoft 365.
