On behalf of UKAEA, we are looking for an Administrative Assistant for a 12 month contract working with an expectation of 5 days attendance in the Culham Campus, Oxford office.
To provide support to Accommodation & Administration team of Estates in the following area:
Office Services:To work as a member of a team providing office services to site. There will be two components to the role. In particular working on the Robin desk and meeting room booking system. This will require someone who is comfortable with learning and using the software, exploring and using its functionality. They will be responsible for producing regular reports most of which are bespoke.
Your main responsibilities will be:
- To work on a major office project where the candidate would be given tasks related to preparation of offices and would be expected to go to location and carry out the task, scoping requirements, problem solving, keeping clear notes to allow them to report back any issues.
- To support staff on office moves to ensure timely completion of the programmes.
- To contribute to management of site furniture stocks, updating and maintaining the furniture inventory.
- To problem solve and make decisions on provision of furniture for existing spaces to meet requirements, timescales, efficiency and cost effectiveness.
- To ensure rooms are ready to be used as required - furniture in place, IT equipment and telephones in place, power and data cables provided to each desk and stowed tidily beneath the desks.
- To contribute to management of furniture storage space to maximise efficient use of the space and to enable the workforce moving and storing furniture to work effectively.
- To deal with office services requests arising through the helpdesk.
- To work on other systems as required: the Robin desk booking software, office services request ticket system etc.
- To undertake the administration related to the above tasks.
- To undertake other office service tasks as directed.
The role requires a person who is proactive, ready to undertake a variety of tasks within a working day. Many of the office services tasks require the person to visit locations across the extensive Culham Campus.
