We're looking for a Production Coordinator to be the operational backbone of our Studio team, keeping projects moving, people informed, and productions running smoothly across a high-volume, fast-paced environment. You'll coordinate schedules, manage logistics, track deliverables, and ensure the right people have the right information at the right time. You'll work closely with Producers, Editors, Creative Directors, Client Services and external partners to coordinate productions from brief to delivery, across branded content, social formats and original programming.

What You'll Do

  • Own Production Scheduling & Project Management
    • Build and maintain production schedules across multiple concurrent projects, tracking milestones, deadlines and resource availability.
    • Coordinate shoot logistics including location bookings, crew scheduling, equipment hire and travel arrangements.
    • Manage call sheets, production documents and briefing packs, ensuring all parties are prepared and aligned ahead of production.
    • Take ownership of production folders, keeping paperwork current and ensuring documentation is rolled out consistently across projects.
    • Track deliverables against agreed timelines, flagging risks or delays early and escalating when necessary.
    • Maintain project management tools (including Monday.com) to keep all stakeholders updated on project status in real time.
  • Manage Budgets & Suppliers
    • Assist Producers in managing production budgets, tracking spend and processing purchase orders and invoices.
    • Source and liaise with external suppliers, freelancers and vendors, managing quotes, contracts and delivery expectations.
    • Maintain an up-to-date supplier and freelancer roster, including rates, availability and performance notes.
    • Flag budget variances promptly and support Producers in keeping projects within scope.
  • Coordinate Across Teams
    • Act as a central point of contact across Creative, Strategy, Client Services and Post-Production to keep productions aligned.
    • Track production processes and campaigns through to completion, giving Client Services accurate delivery timelines, status updates and seamless asset handover.
    • Coordinate asset handover to the editing team, ensuring footage, briefs and reference materials are clearly organised and accessible.
    • Support the onboarding of new freelancers and production partners, ensuring they have the tools, access and context needed to hit the ground running.
  • Keep Studio Operations Running
    • Oversee day-to-day studio operations, including equipment inventory, facility bookings and kit maintenance logs, in close collaboration with Post-Production to ensure continuity across production and editing pipelines.
    • Manage file storage and archiving protocols, ensuring all production assets are correctly named, organised and backed up.
    • Identify inefficiencies in production workflows and proactively suggest process improvements.
    • Build, update and maintain production processes and workflows, ensuring documentation is clear, current and accessible to the wider team.

Who We're Looking For

You're highly organised with a genuine love of systems, structure and making things run smoothly. You stay calm and adaptable when plans change, reprioritising quickly without losing sight of the bigger picture. You're a proactive communicator who keeps people informed without being chased, and you're comfortable operating with autonomy in a fast-moving environment where no two days look the same.

You'll Have

  • 2+ years' experience in a production coordination, project management or studio operations role (agency, broadcaster or publisher environment preferred).
  • Strong working knowledge of project management tools, Monday.com experience highly desirable.
  • Confidence managing multiple projects simultaneously with competing deadlines and shifting priorities.
  • A solid understanding of video production workflows, from pre-production through to post and delivery.
  • Experience managing supplier relationships, processing purchase orders and supporting budget tracking.
  • Excellent written and verbal communication skills, able to keep multiple stakeholders informed clearly and concisely.

Bonus Points For

  • Experience working within a social media publisher, content studio or creator economy business.
  • Familiarity with branded content production and working alongside agency or brand clients.
  • Exposure to Notion, Google Workspace or equivalent collaborative tools.
  • A basic understanding of post-production processes and file formats.
