Job Overview
PGIM Credit’s London Corporate Finance team in London is seeking a bright, organized, motivated and well‑presented individual for an Administrative Assistant position based at the office.
The successful candidate will serve as the face of the London office, managing all front‑of‑house duties, providing administrative support and acting as a Team Assistant to support the senior admin team.
Key Responsibilities
- Full ownership of the front‑of‑house area, including meeting‑room calendar management and maintaining a welcoming environment for staff and visitors.
- Schedule and coordinate meeting logistics: reserve rooms, set up video‑conference connectivity, prepare materials and arrange refreshments and hospitality.
- Coordinate domestic travel arrangements, prepare itineraries, submit and track expenses.
- Manage the team’s email account: file, prioritise, clear daily influx, maintain a to‑do list system and respond on behalf of the admin team.
- Provide IT support liaison: resolve mobile device issues and liaise with the IT department.
- Screen and redirect routine and non‑routine calls, distribute post and arrange couriers.
- Provide administrative support for Investment Professionals and other team members, including expense reports, meeting material compilation and document preparation.
- Act as liaison between the office, reception and multiple business units within the broader organisation.
- Order and maintain inventory of refreshments and stationery.
- Minute taking and perform routine health‑and‑safety checks.
- Support the EA and senior admin teams as required.
Qualifications
- Proven experience as a receptionist or administrative assistant supporting a busy office.
- Team player with high energy, a positive attitude and the ability to work well with all levels of the organisation.
- Excellent multitasking skills, initiative, and the ability to work seamlessly in a hybrid environment with colleagues in different locations.
- Confidence to make certain decisions and to know when to involve the Office Manager.
- Strong initiative, judgment and discretion in handling confidential information.
- Excellent written and verbal communication skills, with the ability to maintain close communication and foster effective relationships internally and externally.
- Proficiency with Microsoft Office applications, especially Outlook.
- Strong partnering and collaboration skills, with the ability to take direction from multiple sources.
- Attention to detail, accuracy and completeness in every task.
