What you will do:

  • Full ownership of the front of house area, including managing the meeting room calendar, maintaining the appearance of the front of house area and providing a friendly welcome to staff and external visitors.
  • Schedule and coordinate meeting logistics, including reserving conference rooms, arranging video conference connectivity, preparing meeting materials, refreshments and hospitality.
  • Coordinate domestic travel arrangements including preparing detailed itineraries and submitting and tracking expenses.
  • Complex management of email account to include filing, prioritizing, clearing daily email influx, maintaining a to do list system and responding to emails on the admin teams behalf.
  • Liaise with the IT department to manage and resolve IT/mobile device issues.
  • Screen and redirect routine and non-routine calls, as appropriate.
  • Distribute post and arrange couriers.
  • Provide administrative support for Investment Professionals and other team members as needed, including expenses, compiling meeting materials, and document preparation.
  • Act as a liaison between the PGIM Credit’s London office, ground floor reception and multiple business units within the wider organisation.
  • Order and maintain inventory of refreshments and stationary.
  • Minute taking.
  • Routine Health and Safety checks.
  • Team Assistant support duties to provide support to the EA team.

What you will bring:

  • Proven experience as receptionist or administrative assistant in a similar role supporting a busy office.
  • Team player with high energy and a positive attitude with the ability to work well with all levels of the organisation.
  • Ability to multi-task with the initiative to work seamlessly in a hybrid working environment and with colleagues based in different locations.
  • Confidence to make certain decisions and react to internal and external requests and know when to reach out to the Office Manager to inform and discuss action.
  • Proactive in taking initiative to provide administrative support/guidance where it is needed without instruction and following through; ability to plan and think ahead.
  • Ability to work under minimal supervision and effectively prioritise multiple assignments under time constraints.
  • Excellent written and verbal communication skills with the ability to maintain close communication with all team members and foster and maintain effective relationships internally and externally.
  • Strong initiative, excellent judgment and discretion required in handling confidential information.
  • Ability to compose routine letters and/or emails needed.
  • Strong partnering and collaboration skills required.
  • Willingness and ability to take direction from multiple sources.
  • Strong attention to detail, accuracy and completeness.
  • Analytical, detail-oriented, and thorough professional.
  • Ability to manage and prioritize multiple action items at once.
  • Proficiency with Microsoft Office applications: especially Outlook.

  • Private Medical Insurance: PGIM offers private medical insurance and pays the full premium on behalf of all employees.
  • Annual Leave of 25 to 28 days, based on years of service, at full pay.
  • Retirement Savings Plan: Employees receive a company contribution of 10% basic annual salary and a maximum employer-matching contribution of 5% of basic annual salary.
  • Life Assurance & Income Protection: Life Assurance for 8 times your basic annual salary, up to a max benefit of £1.8 million. 75% of your basic annual salary for a limited payment terms of 5 years, at the end of which a capital sum of 2x your basic annual salary is payable.
