The File Collation Analyst is responsible for collating, reviewing and validating customer onboarding files for Bond and Annuity products, ensuring files are complete, accurate and audit ready. This is a delivery focused role requiring strong attention to detail, confidence working with financial services systems, and the ability to meet strict timeframes.
Main Responsibilities:- Collate and review customer onboarding files following documented procedures
- Access and navigate policy administration systems (e.g. 4Front, BANCS, UAPS) to retrieve full customer records
- Identify whether cases are in scope, including checks for multiple or historic policies
- Gather and save all relevant documentation, including:
- Applications and proposal forms
- ID and verification evidence
- Adviser declarations and confirmations
- Bank account and payment verification
- Call notes and customer contact history
- Illustrations, cooling-off notices and recommencement letters (Annuities)
- Complete product-specific checklists (Bonds and Annuities) to confirm file completeness
- Upload files to SharePoint using agreed folder structures and naming conventions
- Accurately update tracking spreadsheets and maintain a clear audit trail
- Meet agreed SLAs (typically 7 working days per file)
- Support peer checks before files are released for review
- Financial services experience in operations, remediation, QA, compliance or risk
- Experience collating or reviewing customer files or evidence packs
- Strong attention to detail and ability to follow detailed procedures
- Understanding of CDD / ID verification and basic AML requirements
- Confident using multiple systems and managing large volumes of documents
- Well organised with the ability to meet fixed deadlines
- Methodical and accurate
- Comfortable working independently within a structured process
- Professional and security-aware when handling sensitive customer data
- Proactive in identifying and escalating gaps or issues in files
- Experience with Bonds and/or Annuities
- Familiarity with legacy systems (e.g. 4Front, BANCS, UAPS)
- Experience using SharePoint document libraries and trackers
Location: Stirling (Hybrid 2 - 3 days per week)
