We are seeking a proactive and organised Junior Administrator to support our Facilities Management team, with a focus on hard services. This role is ideal for someone with around 1 year of administrative experience, preferably within FM, engineering services, or a technical environment.
You will play a key role in supporting day-to-day operations, ensuring jobs are logged, tracked, and completed efficiently while maintaining accurate records and providing excellent service to internal and external stakeholders.
Key Responsibilities- Provide general administrative support to the FM / hard services team
- Manage incoming calls, emails, and service requests in a professional manner
- Raise, log, and track jobs through CAFM/helpdesk systems
- Schedule reactive and planned maintenance works with engineers and subcontractors
- Monitor job progress and ensure tasks are completed within SLA timeframes
- Process purchase orders, invoices, and general financial administration
- Maintain accurate records, reports, and documentation
- Liaise with clients, contractors, and internal teams to coordinate works
- Assist with reporting, data entry, and KPI tracking
- General office duties including filing, scanning, and document control
- Minimum 1 year experience in an administrative role
- Strong organisational skills and attention to detail
- Good communication skills (written and verbal)
- Proficient in Microsoft Office (Excel, Word, Outlook)
- Ability to prioritise workload and multitask
