We are recruiting a Temporary / Ad-Hoc Post Room Assistant to provide short-term, flexible support to the post room and wider facilities team. This role is ideal for individuals available to cover periods of increased workload, staff absence, or operational requirements, delivering a reliable and customer-focused service.
The Post Room Assistant will be responsible for ensuring mail and deliveries are processed accurately and efficiently, while also supporting general facilities tasks and reception cover when required.
Key Responsibilities- Sort, log, and distribute incoming and outgoing internal and external mail
- Prepare and frank outgoing mail with the correct postal value
- Receive, record, and distribute parcels and courier deliveries
- Maintain accurate records for tracked and registered items
- Support stationery ordering, issuing, and basic stock control
- Keep the post room and storage areas clean, tidy, and hazard‑free
- Dispose of waste and recycling in line with site procedures
- Provide ad‑hoc support with meeting room set‑ups, porterage, and basic facilities tasks
- Provide reception cover during breaks or short absences when required
- Liaise professionally with building users, delivery drivers, and client representatives
- Escalate any issues or concerns to the facilities or helpdesk team
- Previous post room, mail handling, or facilities experience (desirable but not essential)
- Basic IT skills, including Microsoft Office applications
- Strong attention to detail and accuracy
- Good communication and customer service skills
- Flexible availability and willingness to work on an ad‑hoc basis
