The Administrative Assistant will be based on Reception, working closely with our Reception Manager to provide essential front-desk, administrative, and office support, serving as the first point of contact for visitors, contractors and callers. This role supports daily office operations and administrative functions, requiring strong organizational skills, professionalism, and a service-oriented mindset. The position is well suited for an early-career professional seeking exposure to a corporate office environment.
ResponsibilitiesThe Administrative Assistant will be responsible for the following:
- Serve as the primary point of contact for visitors, clients, and contractors, greeting guests in a professional and welcoming manner.
- Answer and route incoming phone calls, emails, and general inquiries, ensuring timely and accurate responses.
- Manage reception area appearance, ensuring a clean, organized, and professional environment at all times.
- Coordinate visitor access, meeting room reservations, serving refreshments and on-site logistics as needed.
- Support day-to-day office operations, including mail distribution, office supply inventory, and coordination with building management and vendors.
- Provide administrative support to a team of junior executives, requiring extensive calendar scheduling, meeting coordination, and travel management.
- Prepare and complete expense reports in multiple currencies, and tracking / organizing expense reports.
- Assist with onboarding logistics for new hires, including workspace setup and coordination of office access.
- Partner with Executive Assistants and management to provide coverage and support across the office as needed.
- Participate in office initiatives, events, and projects as assigned.
In addition to the outlined responsibilities, you will be expected to handle ad hoc requests as they arise. QualificationsThe successful candidate will have an exceptional track record and reputation. Given the significant responsibilities of this position, the top candidate will be a mature, experienced individual. In addition, the successful candidate should have:
- 2 - 4 years of executive-level administrative or operational support experience, preferably in financial services, legal, consulting or banking environments.
- Professional Admin, Secretarial Training preferred.
- Proven ability to exercise discretion and independent judgment on confidential and strategic matters.
- Exceptional organizational and time management skills, with the ability to manage multiple assignments from multiple professionals under tight deadlines and ability to think and act independently.
- Strong verbal and written communication skills, with the ability to represent executives in internal and external communications.
- High level of professionalism, integrity, and discretion in handling confidential information.
- Energetic, proactive team player with strong initiative and ability to work in a fast-paced environment.
