Joining an established administration team, the post holder will provide comprehensive, professional and effective administrative support. The role requires good judgement, initiative, confidentiality and clear communication with staff, service users, colleagues and visitors.

Responsibilities

  • Provide comprehensive administrative support for clinicians and medical staff, including high‑quality production of patient records and correspondence using audio typing skills.
  • Maintain specialist knowledge of a clinical service area or range of services supported by the Administration Support Team.
  • Answer queries, progress chase, problem‑solve tasks and resolve issues for clinical/medical staff or patients, and provide non‑clinical advice or information to others.
  • Input data into clinical and administrative systems, ensuring data quality and accuracy.
  • Use SystmOne and Microsoft Office to complete daily work and produce standard reports from databases.
  • Ensure sufficient levels of stationery and stock are available within clinical areas and report shortages to the Team Leader.
  • Establish effective relationships with external contacts and partnership agencies, representing Provide as an outstanding organisation.
  • Provide cover for others within the Administration Support Team, including ad‑hoc reception desk duties.
  • Follow standard processes and procedures, contributing to service development through suggestions at team meetings.

Essential Criteria

  • 2 years of administrative experience
  • Proven ability to manage a busy workload and deliver general administrative support efficiently

Desirable Criteria

  • 2 years of administrative experience
  • Experience with SystmOne

Qualifications

  • NVQ or equivalent
  • Administrative experience

  • Training in Microsoft Office to an intermediate level
