Job overview: This postholder will be responsible for providing administration support for services provided by, and the Directors of, Provide Wellbeing Ltd.

Main duties of the job:

  • Ability to organise and plan own workload effectively.
  • Ability to resolve queries competently and elevate to team leader when necessary, via email and telephone.
  • Understanding of customer service and able to implement effectively.
  • Able to use initiative within the framework of standard processes and procedures.
  • Ability to work within a team environment.
  • Reliable, accurate and excellent attention to detail.
  • Advanced keyboarding skills.

Working for our organisation: Previous experience in business administration with good customer service skills. Background knowledge in Neurodevelopmental services is desired but not essential.

Detailed job description and main responsibilities:

  • Responsible for the end-to-end processing of patient referrals and appointments from multiple sources and channels against key performance indicators.
  • This includes all patient communication and correspondence including managing responses to patient requests in liaison with the clinical team and management.
  • Utilise key systems and reports to manage patient waiting times, back-end processing of systems/tools, providing insight into patient demand to ensure adherence to KPI’s, escalating to management deficits or surplus in capacity versus demand.
  • Support management in the induction of new employees, contractors and temporary staff.
  • Responsible for ensuring the administration, reception and clinical environments are clean, organised and tidy and reflect the Company Brand and Values, reporting any building maintenance issues to management and liaising with supplies to agree suitable times for any work required.

Person specification:

  • Demonstrates a professional and courteous telephone manner when speaking with members of the public and clinical teams.
  • Previous experience of patient-based systems such as SystmOne.
  • Previous experience in business administration with an operational background.
