Protech Site Services are currently recruiting for a Salesforce Data Lead to join a National Charity for a 3-6 month contract.
ROLE PURPOSE
We are a national charity currently undergoing a data transformation programme. This contract role will be central to that work, maintaining CRM data integrity, managing our mailing-house data workflows, and ensuring Gift Aid compliance, while we build longer-term processes and capability.
KEY RESPONSIBILITIES
- Manage and maintain Salesforce as the primary donor CRM, including bulk data imports and updates using Omatic Cloud or equivalent tooling.
- Process, quality-assure, and sign off mailing-house data files for Woodsvall Data (our direct-mail supplier), covering raffle and Cold Fundraising Pack campaigns — including segmentation, ticket allocation, and audit URN tracking.
- Reconcile post-campaign data from Woodsvall Data back into Salesforce, managing responses, suppressions, and version control of all files.
- Own the end-to-end Gift Aid process: identifying eligible donations, maintaining declaration records, and preparing timely HMRC claim submissions.
- Conduct regular audits of Gift Aid data to identify gaps or compliance risks, reporting to finance and senior leadership.
- Ensure all data handling complies with GDPR, PECR, and the Fundraising Regulator’s Code, including managing suppression files and opt-out requests.
- Identify and help implement automation to reduce manual data processes across the team.
- Liaise with external consultants and developers on Salesforce requirements, testing, and deployments.
ESSENTIAL REQUIREMENTS
- Proven experience managing CRM data at scale, ideally within a fundraising or charity environment.
- Hands-on Salesforce experience (Sales Cloud or NPSP) — imports, deduplication, reporting.
- Strong working knowledge of Gift Aid rules and HMRC.
- Experience working with mailing-house data: preparing segmented files, working with suppliers, and reconciling post-campaign data.
- Confident handling large CSV/Excel datasets — cleaning, transforming, and validating.
- Solid understanding of GDPR and data protection principles in a fundraising context.
- Highly organised, detail-focused, and comfortable managing multiple campaign deadlines.
DESIRABLE
- Experience with Omatic Cloud or similar Salesforce import tooling.
- Familiarity with Salesforce Marketing Cloud or Data Cloud.
- Knowledge of direct-mail raffle operations within the charity sector.
