Permanent, full-time (37.5 hours per week) London Bridge Office

What the job involves

We have a great opportunity to join our vibrant charity as part of our Workplace (Facilities) team. As a key ‘go to’ member of the team, you’ll play an important role in the smooth running of our London Bridge office, helping to keep everything safe, compliant and running efficiently day to day. This is an office-based role, reflecting the hands-on nature of the work.

This is a varied and busy role, covering a mix of facilities coordination and health and safety support. You’ll assist with completing checks, maintaining accurate records, and ensuring our systems and processes run smoothly. You’ll also work closely with contractors, manage the ordering of supplies, arrange work-from-home equipment, and raise purchase orders. With support from the Workplace Health and Safety Manager, you’ll help manage the office security system.

There will also be opportunities to get involved in wider projects, including supporting the People Experience team with new starter inductions and working with the Communications team on office events. Alongside this, you’ll use your strong organisational and administrative skills to support record keeping, reporting, insight gathering and logistical planning. Everything you do will contribute to making us a great place to work – wherever our people are based.

What we want from you

We’re looking for a proactive and organised individual who enjoys problem solving and takes pride in keeping things running smoothly. You’ll be comfortable managing a varied workload, prioritising effectively and using your initiative to find practical solutions day to day. Strong communication skills are essential, as you’ll be working with a wide range of colleagues, contractors and suppliers. You’ll bring a confident and approachable style, building positive relationships and engaging others with enthusiasm and empathy.

You’ll have a keen eye for detail and feel comfortable working with systems and information, ensuring records are accurate and well maintained. An understanding of how to handle sensitive information responsibly, particularly when storing and sharing employee data, will be important in this role. Experience in an office coordination, facilities or similar environment would be helpful but isn’t essential. We’re just as interested in candidates who can demonstrate transferable skills, a customer-focused mindset and a genuine passion for creating a positive workplace experience.

This role is in salary Band 2A and is paid at the London Living Wage, currently £14.80 per hour (£28,860 per year full time). After 12 months of successful service, there will be a small increase to the midpoint of the band. Our salaries reflect that the London office is our contractual place of work. We also pay a working-from-home allowance at the HMRC tax-free rate of £312 per year. We are committed to paying at least the London Living Wage for all roles and apply the updated rate each April.

How and where we work

Colleagues attend the office at least four days per month (pro rata for part-time colleagues) to collaborate, build relationships, and support projects and decision-making. You can choose where to work the rest of the time. Travel to the office is a commute, so we pay our own travel costs. Due to the nature of this role we'd ask colleagues to be in the office 4-5 days per week. Additional in-person attendance will be required during your first few months for induction and training, to support you to learn the role and get to know colleagues. We trust colleagues to work flexibly while balancing personal commitments with the needs of the charity, and we are committed to making reasonable adjustments for colleagues with a disability, neurodiversity, or a long-term physical or mental health condition.
