Primary responsibilities:
- Daily Management of the Venue
- Forge and maintain positive working relationships with staff across the hotel, specifically their management, sales and banqueting teams
- Promote a positive working relationship between the hotel and our HQ team
- Keep our HQ team fully informed of any developments
- Undertake training as required by the venue (e.g. training on their health and safety procedures)
- Ensure our equipment is removed from event spaces at the end of hire and is not left out overnight (unless you have agreement and confirmation from the venue that the space will be locked and no unauthorised staff can gain access)
- Oversee the rigging within the hotel to assist the hotels in maintaining their health and safety standards
- Provide technical advice as necessary
- Supervision of the on-site venue technicians
- Dress suitably to mirror the hotel management team (dark suit, shirt and tie, smart black shoes) at all times
Sales/Account Management
- Arrange to attend all show rounds at the hotel to sell the event space, obtaining support as required
- Use your technical expertise to help clients visualise what is possible in the various event spaces
- Establish and maintain an excellent knowledge of all hire kit
- Ensure close liaison and an excellent working relationship with all clients before, during and after the completion of events to strengthen the relationship and secure future business
- Respond to all client enquiries in a timely manner
- Ensure appropriate approval of quotations is adhered to, according to agreed protocols
- Provide copies of quotations to the relevant Banqueting Manager unless being billed directly from HQ
- Daily follow up and chasing of quotations
- Overall management of expenditure against a job to ensure that the spend is in line with how the job has been priced
- Achievement of specific targets as set and defined by the Directors
- Achieving the highest possible profit margins whilst maintaining company standards with regard to service levels and Health & Safety standards
- Maintaining an accurate and up to date record of all client communications using Hubspot as per company guidelines, ensuring entries are up to date
- Liaising with the warehouse regarding prep schedules for each job
- Liaising with Operations to ensure the highest level of service is received and that the job is carried out in accordance with client instructions/expectations
- Ensure all extras are charged for and confirmed with the client in writing prior to the event. If extras are ordered on the day, ensure clear sign off and authorisation from the person paying the bill as well as obtaining authorisation from the Banqueting Manager
- Entering all bookings on the database system and producing appropriate paperwork for client approval and signature
- Identifying, intercepting and resolving client concerns
- Providing on-site technical support and assistance to both clients and venue technicians as and when needed
