Location: Central London, hybrid (minimum 3 days per week in office, with flexibility around event scheduling)

Contract: Temporary, 8 weeks

Hours: Full-time, 35 hours per week

Salary: £18.63 per hour (+ holiday) (£34,000 salaried equivalent)

Prospectus is proud to be supporting our client, a well-established international think tank, in their search for a temporary Events Coordinator to urgently support their Events Production team. They are urgently seeking someone to support the delivery of a wide range of events, from small member briefings and private roundtables to larger conferences, providing administrative and logistical support while working closely with Events Programming and Fundraising colleagues.

Responsibilities:

  • Support delivery of a varied events programme, coordinating schedules, venues, suppliers and speaker logistics
  • Assist in the planning and execution of flagship events and conferences
  • Manage event logistics end-to-end, including room setup, AV, catering, registration and online delivery
  • Maintain accurate data across CRM and systems, and support budget tracking and invoice processing
  • Coordinate speaker communications, briefings and arrangements
  • Update event and registration pages
  • Provide on-the-day support, resolving operational issues and escalating where needed
  • Support post-event follow-up, including feedback and communications
  • Collaborate with internal teams and contribute to continuous process improvement

Requirements:

  • Recent, relevant experience in a similar role within a not-for-profit organisation
  • Interest in international affairs and public policy
  • Knowledge of events and projects coordination
  • Confidence using CRM systems and databases
  • High level of organisation and attention to detail, with the ability to manage priorities and deadlines
  • Excellent interpersonal and communication skills, with capability to build strong internal and external stakeholder relationships
  • Collaborative and proactive approach
