Prospectus is pleased to support our client, a leading London university, in their search for a temporary, part-time Counselling Service Administrator (3 days per week). This role starts as soon as possible and runs until the end of May initially. While there is flexibility in working days, Tuesdays must be worked onsite.

Key Responsibilities

  • Provide administrative support to the Counselling Service and Consultant Psychiatrist.
  • Manage referrals to the psychiatrist, including appointments and correspondence.
  • Respond to enquiries from students and staff via phone and email.
  • Oversee day-to-day operations, including record-keeping, inbox management, and appointment scheduling.
  • Order supplies and process invoices in line with finance procedures.
  • Assist with team meetings and ensure staff handbooks/guidance remain updated.
  • Maintain accurate service information across websites and materials.
  • Uphold confidentiality and ensure compliance with duty of care responsibilities.
  • Carry out additional administrative tasks as needed.

Candidates must have previous administrative experience within a similar post, ideally within a university or similar setting, and be proficient in Microsoft Office. The ideal candidate will demonstrate:

  • Strong organisational and communication skills.
  • Proficiency in Outlook, Word, Excel, and CRM systems.
  • Ability to prioritise tasks and work under pressure.
  • Reliability, initiative, and flexibility.
  • Excellent customer service skills, both written and verbal.
