Propstore is seeking a highly organised Consignments Administrator, specialising in Film and Television content to join its growing Auction team in Rickmansworth, near London. The purpose of this role is to ensure the smooth administration of the Propstore UK consignments team with film and television consignments. The role will handle the key administrative aspects of supporting the Consignment directors, liaising with potential sellers and internal departments to ensure all administration is completed accurately and efficiently, and proactive client service is given to all Sellers. You will have good attention to detail, strong organisation skills and a genuine interest in Film & Television production and memorabilia. You will be confident managing multiple tasks and deadlines, accurately follow processes and be confident and polite in all forms of communication.

Main Duties

  • Client Service
    • Confidently and professionally communicate with clients and deliver a high level of proactive customer service using appropriate business style and tone.
    • Liaise with sellers directly, respond to queries and assist sellers with managing their accounts with Propstore.
    • Assist Sellers before the auction with contract and payment documentation, and assist with shipping information, collaborating with internal departments where required.
    • Coordinate the communication of post-auction results and property returns conversations with sellers.
  • Organisation and Attention to Detail
    • Coordinate and manage all pre-sale administrative communication with sellers, handling documentation and ensure all information is accurate and complete.
    • Manage multiple tasks simultaneously while meeting deadlines.
    • Accurately maintain spreadsheets and internal systems with up-to-date information.
    • Ability to accurately follow established processes and procedures, and learn and adapt to new procedures as needed.
  • Collaboration and Teamwork
    • Effectively liaise with clients and multiple internal departments, ensuring all auction processes and procedures are followed.
    • Ability to work effectively within a team, supporting colleagues and contributing to a positive team environment.
    • Flexibility to assist with tasks outside of immediate responsibilities when needed.
  • Technology Proficiency
    • Proficiency in using office software such as Microsoft Office Suite (Word, Excel).
    • Strong aptitude for learning new software and technology quickly.

Skills and Experiences

  • Previous experience in an administrative and client-facing role.
  • Proficient with MS Office products and overall IT literacy.
  • Eager to learn new skills and progress within the business.
  • Excellent written and verbal communication skills.
  • Strong organization skills, ability to plan and manage a high volume of tasks.
  • Experienced and confident with handling data and sensitive information.
  • Familiarity with the auction process and consignments.
  • Knowledge of or strong interest in Films, TV, memorabilia or collecting.
