We’re now looking for a highly organised Office Administrator to join our friendly team and take ownership of dispatching and job scheduling. The Role: This role is ideal for someone experienced in coordinating engineers, handling client calls, managing day-to-day admin, and keeping operations running smoothly — someone proactive, calm under pressure, and confident dealing with both technical and non-technical queries.

Key Responsibilities:

  • Schedule and dispatch engineers to jobs, ensuring efficient diary management
  • Handle incoming calls and emails from clients and residents
  • Follow up with clients and operatives, ensuring all job notes are accurate
  • Track job progress and ensure jobs are completed on time
  • Manage quotes, reports, and invoicing admin
  • Order and return materials, keeping stock records up to date
  • Support team members and senior staff with admin and reporting tasks

What We’re Looking For:

  • Proven experience in dispatching, scheduling, or service coordination
  • Excellent communication and interpersonal skills
  • Strong attention to detail and ability to multitask
  • Confident using Microsoft Outlook, Excel, and Word
  • Calm, professional manner with a proactive attitude
  • Team player with the initiative to manage tasks independently

Desirable:

  • Experience in electrical, plumbing, or facilities environments
  • Familiarity with systems such as Clik, SimPRO, or similar job management tools
  • Previous experience dealing with subcontractors, invoices, or quotes
