Our client is an upmarket, global real estate agency with an enviable reputation and an international network of offices, currently recruiting for an Office Coordinator & PA to join their busy sales team in Weybridge.
Your role will include managing the daily running of the office to ensure the sales team operates at their optimal level, resulting in customers experiencing the first-class service that our client is renowned for. This is a varied role and would suit someone who is organised, self-motivated, with exceptional attention to detail. To be considered, you should have at least 1 year's experience within a property administration role and have the ability to work effectively on your own and within a team.
Responsibilities will include:
- Being party to sensitive information which will be required to keep confidential
- Being a key point of contact between the office, the regional coordinator, and other support departments
- Managing relationships vital for the success of the office
- Being the first point of contact for all enquiries
- Ensuring the office adheres to company standards, meeting audit targets
- Managing the marketing process of properties, ordering photos and floorplans, adding new instructions to the CRM (Reapit), ensuring descriptions are accurate, producing brochures, effectively engaging with social media, and more
- Recording staff sickness, timesheets, and holidays
- Issuing sales invoices and processing supplier invoices in a timely fashion, managing petty cash
- Supporting the team with diary management
- Drawing up the agenda for weekly sales meetings and recording the minutes
- Assisting with the planning and delivery of local events
- Ensuring that new starters are set up properly
- Ensuring all files are compliant with signed terms of business, preparing agency agreements, gathering documentation for the ownership structure of the property, and liaising with compliance teams where required
- Adhering to the companies ISO, money laundering, health and safety policies, as well as the company code of conduct
Personal specification:
- Have at least 1 year's property administration experience
- Strong administration skills and experience – essential
- Any PA experience would be advantageous
- Excellent IT skills, including Excel, Power Point, Word, etc.
- Confident user of Reapit and FluxPro
- Experience working with high-net-worth individuals
- Ability to multi-task
- Excellent written and communication skills
- Ability to work effectively in a fast-paced environment individually and as part of a team
- Strong organisational skills
- Excellent telephone manner
- Good attention to detail
- Enthusiasm to do a good job
The salary on offer for this role will be between £34,000 and £35,000, plus an annual discretionary bonus. Benefits include 25 days holiday plus bank holidays, Christmas and New Year, pension, private health insurance after probation, life assurance, discount portal, and more!
