Our client is part of a private family office with significant experience in investment and asset management within the property sector in the UK. They have an impressive track record for asset management and pride themselves on taking a broad, long-term view when they invest on behalf of their clients. They currently have a superb opportunity for a Property Management Assistant to join the team in Westminster.

To be considered for this role, you will ideally have some previous experience within a residential property management / lettings team; however, they are willing to train a superb individual with transferable skills. Responsibilities will include:

  • Supporting the Asset Managers with the administration of the property portfolio
  • Drawing up agreements etc. for all new tenancies in the administrator absence
  • Drawing up renewal agreements
  • 6-month routine property visits for London and Greater London properties
  • Organising EPCs, electrical checks, gas certificates, annual boiler servicing and sending copies to tenants
  • Managing applying for new residential addresses
  • Ad hoc meter reading collection when required
  • Maintaining online parking website (iPermit) for parking spaces
  • Assisting with registering entities and properties on VOA website and tracking correspondence
  • Registering new addresses
  • Bimonthly building visits to collect post and inspect communal areas
  • General administration for the property team to include: courier bookings, saving documents on S Drive when required
  • Maintaining records (filing, tenancy schedules etc.) in administrators’ absence
  • Producing weekly debt reports
  • Applying for new residential bin containers and reporting any issues with collections to the council
  • Reviewing the property licence regulations in various boroughs and applying/renewing property licences for various
  • Preparing rent increase letters on behalf of the property managers.

Personal specification:

  • Previous experience within a property management assistant / lettings administration role would be beneficial
  • Experience dealing with high-end clientele
  • Excellent standard of communication – written and verbal
  • High level of customer service skills
  • Proven ability to prioritise workloads and plan ahead
  • Ability to work well in a team environment
  • Accuracy and attention to detail.

Our client is offering the property management assistant a salary of £28,000 to £32,000 dependent on experience. Benefits include 23 days holiday increasing to 25 days after two years of service, company pension scheme matched up to 5%, life insurance/death in service after probation, company health care scheme after 3 years, and more!
