Job Summary:

To assume a residential on-site role and provide a point of contact for the residents and their needs. To ensure that the property is run smoothly and to provide a security presence and administration assistance where necessary. The front of house position will be predominantly situated at the main concierge desk.

Responsibilities:

  • To provide all necessary services to the residents as per the instructions of senior management.
  • To communicate efficiently with all other members of staff, the residents, guests and onsite contractors.
  • Responsible for welcoming residents and guests to the property.
  • Responsible for the cleanliness and comfort of the reception area and common parts at all times.
  • To respond proactively to resident requests in a timely and polite manner.
  • During working hours, you will be located at the reception desk except when carrying out any required work within the building.
  • You will be required to carry out a minimum of two inspections of the common areas of the building per shift.
  • At the end of your shift, ensure the property is kept clean, tidy and that all electrical/technological appliances are in good working condition at all times.
  • There may be a requirement for additional inspections/patrols of some public parts of the site including security checks, however, you will NOT be expected to place yourself in danger by undertaking this or any part of your role; appropriate training and equipment will be provided for your safety.
  • While manning the main reception desk, you may be required to carry out a variety of administration and office tasks.
  • At all times ensure the security of the building is not jeopardised.
  • Assist residents together with their guests and visitors when and where required.
  • Duties will include key holding for residents according to an agreed procedure.
  • Perform all necessary porter duties, including but not limited to carrying luggage/packages for residents, running errands (if cover available), cleaning duties as required, and any other physical activity as needed.
  • During the earlier stages in the site's development, take a more general approach to site requirements such as cleaning.
  • Receive and distribute/store all mail and parcels in accordance with procedure. All registered mail and deliveries should be logged before distribution to the individual apartments.
  • Ensure that you are always courteous, polite and positive to residents, guests, suppliers and the public.
  • Monitor all persons at the property and ensure they have a right to be present.
  • Answer the telephone and deal with general enquiries. Log messages, requests & events.
  • Monitor the presence of workmen working within the building and supervise their activities to ensure minimum disturbance to residents.
  • Co-ordinate access and building systems from front desk suite and monitor and react to alarms as directed.
  • Liaise with Emergency Services as required.
  • Log and report any incidence of disrepair using the appropriate procedure/tool at your disposal. Immediately inform senior management of the incidence, including all building defects, plumbing, heating and lighting in the common parts, 24 hours a day, 7 days a week. Report emergencies immediately.
  • Report and monitor Health & Safety issues and ensure safe working practices are adhered to.
  • Carry out communal lighting inspections of the building and replace or report any defective bulbs following current Health & Safety regulations for working at height.
  • Collect and securely tie refuse sacks found during inspection walks and place them in the bins' storage areas provided in the communal parts. No bags or rubbish should be left in the common parts overnight or for a long period of time.
  • Ensure that all spillages and rubbish are cleared away immediately and that all areas of the building (principally the reception hall) are always immaculate.
  • Carry out any additional duties as directed.
  • Be flexible and have a hands-on approach. Offer help and assistance to others where you can.

Person Skills Profile:

  • Experience in hospitality/concierge.
  • Confidence and discretion to be used with high profile residents.
  • Ability to take ownership of an operation when alone.
  • Professional, precise, courteous and dedicated.

Career Experience Required:

  • Experience in a front of office role.
  • Experience and involvement with a facilities management role.
  • Basic/Intermediate IT skills.
  • Concierge/PA skills.
  • Event management experience.
  • SIA training would be beneficial but not a requirement.

Particular Aptitudes/Skills Required:

  • Sharp eye for detail.

  • Good knowledge of IT/Office/Excel & Word.
