Property Angels is a busy and growing letting agency, and we are looking for an experienced, highly organised and confident Maintenance Administrator to join our team. Previous experience managing and coordinating maintenance is essential for this role. Previous lettings or property management experience is preferred but is not essential.
The Role
You will be responsible for coordinating maintenance across our managed property portfolio, ensuring repairs, compliance works and property preparations are dealt with efficiently from instruction through to completion. Your responsibilities will include:
- Coordinating works required to prepare properties to go on the rental market
- Managing maintenance and repairs throughout ongoing tenancies
- Arranging statutory safety certificates and property compliance requirements
- Instructing and coordinating contractors and tradespeople
- Obtaining quotations and landlord approval for works
- Liaising directly with landlords regarding maintenance, costs and progress
- Communicating with tenants regarding reported issues, appointments and access
- Monitoring outstanding jobs and proactively chasing contractors through to completion
- Prioritising urgent repairs alongside planned and routine maintenance
- Keeping landlords and tenants regularly updated
- Maintaining accurate records on our CRM/property management system
- Checking maintenance documentation and contractor invoices
- Working closely with the wider Property Angels team to ensure properties remain safe, compliant and well maintained
Experience & Skills Required
Experience managing and coordinating maintenance is essential. You may currently work within property maintenance, facilities management, housing, construction, repairs administration or a similar maintenance coordination environment. Previous experience within a letting agency or residential property management is preferred but is not essential, as training can be provided on our specific lettings processes and systems.
We are looking for someone who is:
- Extremely well organised and able to manage a busy workload
- Experienced in coordinating multiple contractors and maintenance jobs simultaneously
- Confident dealing with contractors and challenging delays when necessary
- Professional and confident when communicating with landlords and tenants
- Proactive and able to take ownership of a job from initial report through to completion
- An excellent problem solver
- Able to prioritise effectively, particularly when dealing with urgent repairs
- Highly proficient with computers and digital systems
- Confident using CRM or similar workflow/management systems
- Accurate with excellent attention to detail
- Able to work efficiently in a busy, fast-paced environment
- A strong communicator, both verbally and in writing
A full UK driving licence is essential.
About Property Angels
Property Angels is an established and growing letting agency providing professional property management services to landlords across Scotland. This is an important role within our team and would suit an experienced maintenance coordinator who enjoys being busy, taking responsibility and ensuring that jobs are progressed efficiently rather than simply administrated. You do not need previous letting agency experience. What is most important to us is that you already have experience managing maintenance, coordinating contractors, prioritising workloads and seeing jobs through to completion.
Salary: Β£27,500 per annum
Hours: Monday to Friday, 9:30am β 5:30pm
Location: Bothwell
Driving Licence: Full UK driving licence essential
Maintenance Management Experience: Essential
Lettings Experience: Preferred but not essential
