Bradford College have a fantastic new opportunity to be an integral part of our Estates Department as an Estates Administrator where you will provide support to the wider estates and facilities team. This is an integral role within the department and will involve a variety of administrative and clerical tasks, supporting the Estates team in maintaining a safe, effective, and attractive environment for students, staff, and visitors.

Responsibilities

  • Provide comprehensive administrative support to the Estates Department.
  • Manage correspondence, including emails, phone calls, and mail, ensuring timely responses and appropriate distribution.
  • Prepare and process documents, reports, and presentations as required.
  • Provide administrative support for estates-related projects, including refurbishment, construction, and maintenance projects.
  • Assist in project planning, coordination, and monitoring.
  • Assist in scheduling and coordinating meetings, appointments, and events for the Estates team to ensure effective internal and external communication.
  • Manage the calendar of the Estates Managers and HoD.
  • Coordinate and oversee onboarding of contractors and service providers to the site, ensuring compliance with college policies and procedures.
  • Maintain accurate records and databases related to estates operations, including maintenance schedules, asset registers, and compliance documentation.
  • Update and manage electronic and paper filing systems.
  • Assist in monitoring and tracking the Estates Department budget, including processing invoices, purchase orders, and expense reports.
  • Prepare financial reports and assist in budget planning.
  • Serve as a point of contact for staff, students, and external stakeholders regarding estates-related inquiries and issues.

Education & Training

GCSE A*- C or nationally recognised level 2 qualification in Maths and English or equivalent.

Experience

Previous administrative experience, ideally in a facilities management or estates environment. Experience with data management and financial administration. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
