Crewing Coordinator – Maritime

Location: Humber Region – Office Based
Salary: £25,000–£30,000 DOE
Hours: 35 hours per week, with flexibility between 8:00am–5:00pm
Contract: Permanent

Winsearch is exclusively partnering with a long-established maritime business in the Humber region to recruit a Crewing Coordinator.

We are keen to speak with candidates who already have experience within crewing, maritime, shipping or marine personnel, but we are also open to individuals with strong transferable coordination experience who have the aptitude and willingness to learn the sector.

The Role

Working as part of the crewing team, you will help coordinate the movement, deployment and administration of seagoing personnel.

The role involves managing a number of moving parts simultaneously, ensuring crew are in the right place at the right time and that all associated travel, documentation and administration is accurate and up to date.

Responsibilities will include:

Coordinating crew changes, rotations and deployment

Maintaining crew schedules and rotas

Liaising with crew members, operational teams and external contacts

Organising flights, accommodation, transport and associated travel arrangements

Managing last-minute changes and helping resolve unexpected operational issues

Maintaining accurate personnel records and internal systems

Checking and monitoring important documentation and expiry dates

Supporting the administration of certificates, passports, visas, medicals and other required documentation

Preparing contracts, joining documentation and other crew administration

Supporting the recruitment and onboarding of seagoing personnel

Processing crew timesheets and supporting payroll administration

Learning and using Sage 50 Payroll

Acting as a key point of contact for crew members throughout the crewing process

The position requires someone who can remain calm when plans change, communicate clearly with different people and make sure nothing gets missed when managing multiple priorities.

What We’re Looking For

Previous experience within crewing, maritime, shipping, marine personnel or a similar environment would be highly advantageous.

However, we are also interested in candidates from backgrounds involving complex coordination, travel, scheduling, personnel administration or logistics who can demonstrate the right transferable skills.

You will need:

Excellent organisation and attention to detail

Strong communication and people skills

The ability to manage several priorities simultaneously

Confidence dealing with changing plans and time-sensitive situations

Strong administrative and IT skills

A proactive and solutions-focused approach

The ability to learn new systems, terminology and processes quickly

The confidence to ask questions and seek clarification when needed

A genuine team-player mentality

A willingness to roll your sleeves up and get stuck in

Experience using Sage, payroll or timesheet systems would be beneficial but is not essential where somebody can demonstrate the ability to quickly learn new systems.
